Top candidates are typically invited to campus to meet with the search committee, other faculty, students and administrators, present on their research, conduct teaching demonstrations, and/or explore campus and the Portland area.

Share the short list of candidates with the Associate Dean who will review and approve those that departments may invite to interview. Associate Deans are available to meet with candidates when they are on campus (contact Sarah Guenther to arrange these meetings).
Confirm plans for campus visits with the search committee chair, including proposed dates and itineraries.
Liaise with candidates; ensure that they have detailed itinerary, instructions and forms for reimbursement, as well as information about the campus (including information about the department, CLAS, faculty development, etc.) and the region (housing, public transportation, etc.).

In general, recruiting costs are unallowable on grants. Contact your Departmental Research Administrator before making candidate travel arrangements on grant related hires.
Do not schedule candidate visits such that they overlap or are too close together.
Ask the search committee chair to ‘walk through’ the candidates’ visits. Consider itinerary details carefully:
How will the candidate get to / from the airport, hotel, campus, and other destinations?
Will it be necessary to reserve conference rooms, classrooms, or lecture hall space?

A list of department-controlled classrooms is available in the Scheduling Office's rooming application, AdAstra. Select 'Classroom - Department' in the 'Room Type' menu under the 'Resources' tab.
Are you aware of any food restrictions or preferences such a vegetarian/vegan, kosher, halal, or food allergies/sensitivities?
Are you asking the candidate to take all of their meals at the same restaurant?
With whom should the candidate meet?
Compile a summary of teaching schedules for search committee members and others whom you hope to include on the candidate’s schedule.
Ensure that hosts for meals are reminded of reimbursement policy and procedure.
How will the candidate get from meeting to meeting and keep to their schedule?
Provide a detailed itinerary to the candidate and to all schedule participants.
Ask faculty to meet the candidate at their previous meetings and escort them to their office.
Consider suggesting that escorts take the elevator; a day of taking the stairs from meeting to meeting can be tiring.
Build breaks into the itinerary that will allow the candidate to rest or catch up to the schedule.
