- This is where you can see if a new employee needs to fill out new hire papers with HR or if I-9 documents need to be updated. Employees will not be paid unless/until this required information is complete/current.
- Blank information with today’s date as a hire date = no new hire paperwork on file in HR.
- If the status = Terminated, then check I-9 expiration. If current then ask HR to reactivate record. If expired then send employee to HR to update.
- PWAOEMP fields indicate benefits eligibility dates.

- This is where you can look up (or double check) the letter of offer details for any employee.
- Always double check that you are looking at the most recent date record. Sometimes, depending on the query date in the first block of this form you may end up looking at an earlier dated record without realizing it.
- Union codes are located in the job title:
- UT = AFT represented
- UP = AAUP represented
- UX = excluded from union
- UU = unrepresented
- Job change reasons – sometimes these will make obvious sense and sometimes they are used according to internal HR conventions.
- Pay Plan – for classified employees this is where you look to find their step and pay grade levels (again, be sure you are on the most current dated record).
- Job Labor Distribution tab: This information should be checked for accuracy at the start of each fiscal year to proactively prevent problems that will need to be dealt with later on in the year.

- This is the view/query only version of the form that HR uses to enter corrections to labor distributions on wages that have already been issued.
- Disposition codes can be important.
- Disp 40 means that the check information is entered but has not yet been sent to Cashier’s.
- Disp 60 means that the check information is sent to Cashier’s and can be picked up by the employee but has not yet been fed to the finance module.
- Disp 70 means that everything is done/complete.

- This form is most useful for classified employees. It shows previous and future review dates, merit increases, etc.

- If you just need to do a quick check to see if someone got paid or not this is where to look.
- Dispositions are important on this form.
