The Office of Human Resources' Guide for Supervisors of Student Employees has a lot of valuable information. Also refer to their page on How to Hire Student Employees
To be eligible for a student job through PSU, the person MUST be enrolled at half time or greater for three terms per year. Half time for undergrads is 6 credits per term, for graduate students it is 5 credits per term.
Student positions are either regular wage or work study. Regular wage hours are charged to the hiring unit at 100% plus OPE. Work study wages are charged to the hiring unit at 10% plus 100% of OPE; the other 90% of wages are charged to the work study award. When the work study award runs out, these positions are charged to the hiring unit as if they were regular wage.
How to check the balance of a work study award.
All student jobs are hired using the EPAF System in the PSU Information System. For full directions on how to submit an EPAF, please click on this link: http://www.pdx.edu/hr/sites/www.pdx.edu.hr/files/EPAF%20User%20Guide.pdf
All work study positions will automatically be coded with an end date of 6/15. Regular wage positions are not coded with an end date by default. Best practice is to audit through the list of student employees on a quarterly basis and submit an EPAF to end the position for anyone who is no longer an active employee in your department.
If the student employee will work with sensitive information, departments need to make sure the employee is aware of the OIT Acceptable Use Policy. If working with student records, the department may ask the student to sign the confidentiality agreement in use by the Registrar's Office.
