Hire the top candidate

The CLAS Policy for hiring tenure track faculty, including start-up package negotiation includes detailed instructions for making an offer of employment. This process is typically handled by the Department Chair, who should maintain communication with the Dean’s office and/or Departmental Research Support Services, especially in cases where there may be a need to exceed the established budget for the position. Departmental Research Support Services should also be included in discussions of transferring grants or awards to Portland State.

** Useful tips:

During negotiations:

• In correspondence and discussion with the candidate, (remind the Department Chair to) clarify that terms under negotiation do not represent a formal offer and/or are ‘pending approval’.

** Action items:

After negotiations are complete:

• Support transitioning candidates in PeopleAdmin.*
• Prepare a draft notice of appointment and supplemental letter of offer (templates are available on the Office of Human Resources' website) and attach these to a Hiring Proposal in PeopleAdmin.*
• After the Hiring Proposal is approved, prepare and circulate letters of offer.*
• Ask the new hire to complete the Release from Liability and Consent to Check Criminal History and submit it directly to the Office of Human Resources.*

* Departmental Research Support Services will complete these steps if the appointment is grant-funded.
