Using a Customized Download Format
Creating a customized download format is another option for downloading images and data. You might do this if the format of the downloaded data that you need, does not match an already defined format definition stored in the Portal.
Both school and district users can create custom download formats. They are the owners of their format definitions and only they have the ability to edit and delete the formats that they created. A format created by a school-level user is available to all other users associated with their school. A format created by a district-level user is available to all other users in their district, including the schools in their district.
After you have selected your subjects and clicked DOWNLOAD in the Download Options pop-up window, click CREATE A NEW FORMAT. The Advanced Settings page is displayed. Here you have the option of defining a custom download format or edit a previously saved custom download format.
Click the CREATE NEW FORMAT tab to display the form for defining your new format.
Define the format for downloaded images in the Customize Images section. In this section, you can specify which images to include in the download, their format, color depth, image size and compression levels (if JPEG format is selected). You can also specify the filename format and structure for the image files here as well. For example, if the filename needs to be a fixed length, you would indicate the file size and what additional characters or components to pad the file name.
Click INSERT to add the file name components into the image file name template.
Define the format of the downloaded data in the Customize Data Download section. Here you specify if your download will include data. Specify which pieces of information you wish to include by selecting the desired available data fields from the Available fields column and clicking the right arrow key to move them into the Fields to Include column. You can use the up and down arrow buttons to reorder the data fields. You will also need to specify the name for the data file, its format type (tab-delimited, comma-delimited or space-delimited).
If the administrative software you are using requires the images and/or data to be placed in separate folders, use the Specify Folders Option section to name the folders.
The Enter Format Name section is where you assign a name for the customized format just created. Either use the name of your administrative software or give it a custom name. There is an option of adding a Label that will appear next to the Format name in the drop-down menu of download formats. Specify the school the format is for in the Applies to field.
Click SAVE FORMAT to save the format for future use and return to the Image & Data Management page.
