Post-Tender

1: Planning: Once the Job has been awarded the first step is to Plan the Job.

• Creating the Job - involves adding a new Job into OMNI - at the minimum the currency of the Job and the Type of Job are required.
• Adding/Loading the BOQs - BOQs are the client deliverable items and must be added into the job just added.
• Creating Scopes - Scopes are execution items and one or more scopes are linked to a BOQ. A scope can be thought of as the work that needs to be done to deliver a BOQ.
• Estimation - Once the Execution Items are defined the resources necessary to deliver the Scope needs to be estimated.

2: Material Management: After the Planning Stage is over the material needs to be procured and utilized as part of the Job Execution.

• Material Requisition - MR is created at the Site to denote the requirement of material for Project Use.
• RFQ - Once an MR has been created at the Site - the purchase process kicks in and a RFQ (Request For Quotation) is created. The RFQ is circulated to one or more Vendors. Quotation from Vendors are compiled and then the most suitable Vendor chosen to whom the Purchase Order is issued.
• PO and Material Receipt - Once the PO has been issued to the Vendor, Material can be received at the Site. The Store Keeper at the Site receives the material and records it as part of incoming Stock.
• Material Issue - Once the Stock has been received it maybe issued for Project Consumption (and other Stock Outward transactions)

3: Subcontractor Management: Analogous to the Material Management Process is the Subcontractor Management process.

• A Work Requisition - is a request from the Site to obtain Subcontractors for Work Items that need to be delivered as part of the Execution for a Scope.
• RFP - An RFP or Request For Proposal is the equivalent of an RFQ for Work Items. The RFP is circulated to Subcontractors and quotations obtained.
• Work Order - From the Offers received from multiple Subcontractors a Work Order is issued.
• Measurement - Once the Subcontractor starts work - depending upon his progress, measurement i.e. quantity of work done for the Work Items is recorded.
• Vendor Bill - Multiple Measurements are collected and combined into a Subcontractor Bill which is then paid.
  • Vendor Bills are also registered against multiple Material Receipts and dealt in much the same manner as Subcontractor Bills.

4: Client Billing:

• BOQ Measurement - The first step in preparing a Client Bill is recording measurement for BOQ Items.
• RA Invoice - Multiple BOQ Measurements are combined to create an RA (Running Account) bill.
• Receipt - Against the RA Invoice (or Ad-hoc invoice) money is received from the Client.
