NCIC ENTRY
1. An officer will save the editable form in the Z Drive under the NCIC Entries Folder under the appropriate year. The Officer will email/call or verbally tell dispatch the case number and that there is an entry added to the NCIC Entries Folder.
2. The dispatcher will run the Person/Vehicle/Article in NCIC before entry to verify it has not already been listed. Using the information from the Entry Form, the dispatcher will list the Person/Vehicle/Article in NCIC.
3. The dispatcher will complete the “Dispatch Use Only” portion of the Entry Form. The Dispatcher will re-save the document in the Z drive in that folder and ask another dispatcher, verbally, via Teams message or by email, preferably a supervisor, to perform the second dispatcher who does the secondary check and signs the form as having done it.
4. From your Spillman CAD line go into the law case and create a supplemental report
The first line should say NCIC ENTRY.
Copy and paste the Negative NCIC return.
Copy and paste the NCIC Entry with the NIC number from UCJIS
Copy and paste the NCIC Stolen Hit return.
5. The second party check dispatcher checks all fields as if they are making the entry to ensure all fields are accurate. The 2nd party dispatcher will re-save the form in the Z-drive under the appropriate folder.
4. After checking the entry, open the NCIC ENTRY in the supplemental portion of the Law Case. Hit F6 to timestamp your entry and document that with your initials you did the 2nd party check. Example (timestamp) 2nd party check J Doe.
5. The Dispatch Center Supervisor will do 3rd party check – she/he will add it to the files portion of the case.
