NCIC CLEARANCE
An NCIC clear is done when someone has located the Person/Vehicle/Article, and it has been turned into the Police or back to the Owner/Parent. If it was located by our agency that listed it as stolen/missing, the officer from that agency will notify you that the item can be removed from NCIC.
You will follow the steps:
Run the Property/Vehicle/Person to verify it is still listed NCIC.
Open the Z drive, Open the NCIC Entries Folder, find the corresponding year folder of the listing, and the NCIC Form.
In UCJIS find the appropriate clear transaction for the Person/Vehicle/Article/etc. Fill out all the required fields, remember you only need one of the identifying “BY” fields, not all of them. Once the form is filled out click submit to clear it.
Run the item again to make sure that it has been cleared. If an NCIC does return, make sure it is not the one you just cleared. Sometimes when you run something it will return with similar names/vins/etc. hits. Otherwise, you will get a return that says “no record found” or something similar.
Fill out the clear information on the NCIC form. You will save this again in the Z Drive in the NCIC entries folder.
Go into the law case in Spillman and add a new supplemental
The first line should say NCIC CLEAR.
Copy and paste the Negative NCIC return after clearing the Person/Vehicle/Article.
Copy and paste the NCIC clear from UCJIS
Be sure to also notify the case officer over the case by email (if they are not on duty) that the item has been recovered and cleared.
