Update: we no longer actively use Salesforce (since around 2019) due to the steep learning curve. As of 7/2024, we are trying out Monday.com, which can be used for CRM (customer relationship management), and project management. And possible more stuff too. Salesforce is a database and program tailored to help companies track customers, leads (potential customers), opportunities (potential customers we've actually spoken with or who have expressed interest), and communications. In non-profit land, we can use Salesforce to track donors, grantors, clients, participants, volunteers. You can set up new tables within the database and customize it; for example, we have "activities" (orienteering games). Because of its complexity, we will be using it mainly out of the box (plus some additions Cristina already made).
Currently (9/2019), we have clients, donors, and a few participants in the database. It would be good to get more of the participants as well as volunteers in there. We track organizations and campaigns (programs). We need to connect the campaign hierarch to WhenIWork so we can more accurately determine the true cost of a program. We need to start using leads and opportunities, and reviewing those regularly.
To add or edit an activity, go to the "Activities" tab from the main SalesForce screen.
To publish the activities, we will use SalesForce Communities.
Campaigns are used to track programs. For example, we set up a new campaign for each semester of Community School teaching. Campaigns are useful for tracking people and communication associated with a program. Here is how to create a campaign in Salesforce:
In Salesforce, go to your profile, Settings -> Advanced User Settings
Edit the page and make sure "Marketing User" is checked; save these changes
If you don't have access to make a campaign after this, ask Barb to change your account status
Go to Setup (gear, top right). Go to Users. Note that there is a limit on the number of Salesforce licenses that we have; it might be 12 active users.
Often for events, the click&pledge will not register all the people who have signed up. This is because Salesforce creates temporary contacts if no contact exists. To correct this problem, do the following:
Go to Click&Pledge and find the heading C&P Temporary Contacts (you might need to go to Salesforce Classic -- on the right side of the main toolbar there is a "+" icon that will lead you to a list of potential headings)
Click on each temporary contact and scroll to Mapping Settings
If there is an existing contact for the person who signed up, merge the contact and process
If there is not an existing contact, process the page making sure the "New Contact" bubble is selected
There's a chance that some of the contacts won't merge and will give you an error. If this happens, I had success reloading Salesforce and trying the process over. It worked on the second time.
We have Lightning Experience.
The App Launcher is the 3x3 dots on the top left. Setup (top right) provides access to many of the tools, including sandboxes
1. Log in to Salesforce and click on your avatar on the top right. Click on Settings, then Grant Account Login Access. Give Click & Pledge Support one week of access.
2. Click on the link in the email to go to the C&P support forums website. Go to the Salesforce Upgrade Assistance forum, click New Topic, and copy and paste the info from the email in, and post.
Work in a sandbox to try out new features and get them working before deploying to Production. To log into a sandbox, log into regular SalesForce, then Setup > Sandboxes, and click the login link. Trying to log in directly from salesforce.com does not work.
Cristina has create custom reports. to find them, go to the 9 dots on the top left, and look for Reports. You can export report data. A report is similar to a pivot table. Joined reports are not available in Lightning Experience. A dashboard is a viewer with data from one or more reports.
To see the Objects that are available: Open > Objects. Custom objects' names end with "__c"
This allows querying (like SQL but no * allowed), edit data in spreadsheet format. However, you should not be editing routinely from this tool - use Reports for viewing and exporting, and Dashboards for summarizing and pretty viewing.
