Contacts

How we are currently tracking shared contact information for clients, etc: in TWO MAIN PLACES.

• Day-to-day communications with clients and other contacts are tracked in Monday.com.

  • NG staff needs to explicitly integrate their gmail with Monday.com for automatic tracking, and/or send emails directly from Monday.com 

• Wix.com captures people who want to get our newsletters (blog posts) and have filled out the "Contact Us" form; also those who purchase a kit or sign up for an event. It automatically tracks those who have unsubscribed from our newsletters - we should not send them mass emails!

• We keep those contacts in sync manually through occasional reconciliation:

  • Download contacts from both

    • Monday.com: go to Contacts board; top right three dots (...) -> Export contacts to Excel.

    • Wix.com: go to the site; Customers & Leads > Contacts, then click on Export contacts from the top right Import/Export button.

  • Merge based on email address to determine which are missing from Wix and from Monday.com

  • Add emails that are missing from Wix.com into Wix through manual upload

  • Add emails that are missing from Monday.com through upload.

• In addition:

  • Donors and their donations are tracked in donorbox.com (to make it easy to send required letters about donations and track donations over time)
