We use maps for programs.
Document the need for map work in Monday.com (Map Work table).
Getting permission
If NG does not own the map, then get permission from the map owner to use the map for this program. (This might be NG, NEOC, OUSA, UNO, etc.) The map owner may charge us a fee, although they usually do not.

For both CSU and NEOC, document the map use permission request and result in this shared google doc. You should include a link to that google doc in the email that you send.
For OUSA maps, send email to ymp@orienteeringusa.org
Get permission from the land owner or land manager to use the space. In some cases, our program client may get the permission for us.
Get and store the latest version of the map. If we do not own the map, then get the latest version of the map from the map owner, and store it appropriately in our maps drive. (To learn more about how we organize the maps drive, please see this page.) Archive (not delete) old versions of the map, because those may be relevant or useful if we run into problems or questions later.
Map updates
Determine whether or not the map needs to be updated. If it does, tell the map owner (if not NG) that you plan to make updates and send them the result; find out if they have any instructions about how to make the updates.
Make the updates to the map and store / share as needed. Make sure you add to the map the information that you made the map updates (with name and date). Be strategic - if time is limited, focus on only the updates needed for the program.
Course design
Design courses for the program. If a similar program has been done in this location previously, and the participants will be different, check the filing cabinet for existing paper course maps.
IMPORTANT! Ensure that the map owner and copyright information is included on every map. Also, inform participants of the map owner club's public event schedule. This is a requirement for use of NEOC's maps and an appropriate courtesy in general.
Field check those courses: if using hanging controls, is there something to hang it on? Is the map sufficiently accurate around each control location? Etc.
Make a final version of the course maps and store in the correct place in the Maps drive. (To learn more about how we organize the maps drive, please see this page.)
Update Monday.com to reflect that the work has been done.
If NG is not the map owner, then thank the map owner after the program, and give them a short summary of how the program went. This is important and will go a long way toward building positive relationships!
