Cluster and district groups are managed by ambassadors and overseen by the Teacher Liaison.
There are three ways in which teachers can be added to these groups:
1) Ambassadors will be responsible for adding teachers to groups (this will be a task that will be allocated to them on HubSpot following the registration of the teacher)
They will be able to share a WhatsApp group link with any teacher who would like to join their group.
Or they can add the teachers manually
2) There will be a blog post added to the Wavumbuzi website which will include links to the different groups for them to join directly.
3) The links to the different cluster groups will also be added to the Teacher Portal
Daily communication from the Wavumbuzi team is avoided and rather scheduled to be delivered based on specific milestone actions and challenge phases. Frequency tends to be high during the challenge phase (3-4 messages per week) with lower levels of intensity before and after the challenge (2-3 messages per week).
It often happens that urgent communication needs to be shared during off-comms days (we usually set specific days as the set days we communicate items - for example, Mon, Wed & Friday. If we send messages out on a Thursday, for example, this will be considered an "off-comms day") - these should remain minimal in order not to spam teachers during school hours.
An organic communication flow between teachers is encouraged with intervention and motivation to keep the conversations in the groups alive, encouraged by ambassadors.
The content is created by the JMO in collaboration with the weekly communications plan that has already been set.
All WhatsApp messages that are drafted include a simple graphic (designed by the JMO) - anything more complex needs to be briefed to a designer.
Whenever a message needs to be shared in the WhatsApp groups, the JMO shares the message in the Ambassador/Team WhatsApp Group with the instruction to ask them to share the message in a specific timeframe.
Note: The WhatsApp Groups have already been created and do not need to be recreated for each Challenge. The same WhatsApp groups are used for each Challenge. For Rwanda, Richard Bareke has access to all the groups. For Kenya, Stephen Mangira has access to all the groups.
The WhatsApp Groups can be created on any phone (JMO, Teacher Liaison/Project Manager)

Once they are created, you need to make sure that they each have:
A branded display pic
A description
Thereafter, the ambassadors need to be added to the group, given admin rights, and then they need to start adding teachers to the group and managing it.
