For every Challenge edition, a set of creative collateral, consisting of digital advertising assets used on digital platforms (such as Facebook, WhatsApp or Google), recruitment collateral (such as posters or merchandise for school activations) and other operational assets are developed and updated. These assets all align with the Wavumbuzi brand guide and principles to ensure that we deliver a consistent visual representation of the brand.
Collateral asset production has been planned and tracked using a production scheduling system in excel, which:
provides a framework for the design process workflow, allowing the Marketing Manager to track the production of assets across multiple different freelance designers
provides a central repository for the team to maintain line of sight of the status of collateral asset production, as well as to access all collateral assets when they are complete.
Strategic marketing meeting held with Marketing Manager, Junior Marketing Officer + Project Manager to discuss all the creative collateral needed for the Challenge.
Marketing Manager to create a tracking management document listing all collateral needed for the challenge, the priority order for each item, where each item is in the process, and a link to the item when complete.
Once this is set up, the JMO creates design briefs for each item and shares them with the MM for approval, and then the designer for design.
It is then the responsibility of the JMO to provide feedback/reverts on the designs shared by the designer until it reaches a point where the JMO + MM are happy with the designs. The Marketing Manager is then the person who signs off/approves all designs.
Once the designs are finalized, they should be added into the Final Creative Assets Folder of that specific country folder, in an album titled according to the design. All these albums should include both the final design and the design file.
Wavumbuzi has been working with freelance designers to develop all creative assets.
This Design Brief Template outlines the different components that should considered when briefing graphic design work to freelance designers. This is particularly important for designers who are not familiar with the brand. Effectively communicating the concept and the intended purpose/outcomes of the briefed asset is critical to ensuring the designer delivers on spec and on time.
Briefing Photographers/Videographers on producing video and photo assets requires a slightly different approach. For more information on this process, visit the Photography/Videography page of this playbook.
