The calling campaign is a crucial element of the #WavumbuziRW recruitment campaign. It is the first touchpoint we have with most teachers in Rwanda, therefore it is extremely important that we get it right, because first impressions last. If our first impression with a teacher in Rwanda is unpleasant, they will remember it – and vice versa, if it is good, they will remember that too and most likely feel more comfortable to digest information regarding the Wavumbuzi Entrepreneurship Challenge in Rwanda, feel encouraged to get involved by registering themselves, colleagues and learners to join and engage over the 6-week gameplay phase.
The calling campaign provides an opportunity for us to engage with teachers in a personal and informative phone call. When our approach is professional, informative and insightful, we’ll yield registration results, build lasting relationships with valuable teacher groups and reach our ultimate goal. From our first phone call, we can gauge from their interest & response whether they’re eager to get involved in this initiative and clearly understand our ideal next steps from starting registration to accessing and engaging with the activities and resources within the teacher portal. We want to encourage and support teachers as they navigate through the small incremental steps to continue their active engagement until the end of the first Wavumbuzi Challenge in Rwanda 2021.
The aim of the calling campaign is to introduce and inform teachers about the challenge, and to get them excited about what’s to come. It is about making sure they understand what the Wavumbuzi Entrepreneurship Challenge is all about, the importance of it and why they should participate. The call should leave teachers feeling excited about this initiative, well-informed and eager to partake.
We have procured several individuals who will take on the responsibility as Wavumbuzi calling agents. These calling agents will be the first touchpoint of contact to teachers. After this first call, we’ll be able to gather the intent and interest of each teacher and consequently create a sales funnel of teachers to recruit. For those teachers who do not immediately show an interest, we’ve created a continued marketing strategy whereby we address their hurdles or concerns and ideally the outcome of this will end positively in registration.
After each phone call with the calling agents, an automated email will be sent to each teacher within a specific region/district on behalf of the regional Wavumbuzi Ambassador – what is included in that email depends on the outcome of that call.
We have drafted several emails based on the potential outcome of each call. All of these emails will be sent from our very smart CRM system called Hubspot. Calls will be made from Hubspot as well, and you’ll be able to track your tasks and log notes from your phone discussion or email. Teachers who do not register after positively engaging with a calling agent will receive follow up communication via email or WhatsApp from their region’s Wavumbuzi Ambassador until they’ve registered, unless they advise that they are no longer interested in participating.
Essentially, a teacher that has been allocated to your region (under your name as an Ambassador), is your responsibility. You need to follow up with that teacher to make sure that they register.
