Timeline Recommendation: 2 - 3 weeks prior to Challenge start date
While this phase has some overlap with the previous Recruitment phase, the priority of the onboarding phase becomes more urgent as the Challenge start date comes closer. The main focus of this phase is to ensure that both teachers and students have completed all the steps following registration:
For teachers, that would be:
Familiarising themselves with the Teacher Portal
Getting their learners registered/comfortable with the Wavumbuzi system
For learners, that would be:
Logging into the gameworld and familiarizing themselves with it
In some cases, we have a "Warm up/Onboarding/Training Centre" where learners can actually start submitting challenges before we go live
Examples of tactical marketing actions during Onboarding Phase
Even before teachers complete the online steps for registration, they’re invited to attend virtual teacher training. These sessions are valuable for new and recurring teachers as it provides an opportunity for us to provide valuable information about the upcoming Wavumbuzi Challenge, share the curriculum overview with them and offer an in-depth look at what’s ahead for their learners during the Challenge.
A huge benefit of these teacher training sessions is that we’re able to encourage teachers to complete their registration together during a Wavumbuzi lead demonstration from the team.
For teachers who are unable to attend multiple Teacher Training webinars, we have pre-recorded teacher training videos available with the same content outline we follow during the webinar sessions. We refer to these as video-on-demand, and they’re available for teachers to watch as a reminder, or as a means to get the same information as during the live webinar.
Once teacher training is complete, we offer teachers the opportunity to receive accreditation, by completing the Teacher Training assessment (not compulsory to participation).
Encourage Teachers to log on to the Teacher Portal and complete their profile as well as familiarise themselves with it.
The Teacher Portal serves as the Central Hub of information for them.
While our focus is on onboarding teachers as the guiding force behind student engagement, our next action involves encouraging teachers to invite the learners in their school to participate as part of their school. Learner invitations are sent by the registered teacher to the learners via the Teacher Portal.
Learner invitations are open to all secondary school learners.
Once a teacher has invited his/her students, they need to approve these students and accept them to participate under their respective school in order to procure points for their school during the gameplay phase and claim a position on the Wavumbuzi School Leaderboard.
Taking hold of the opportunity to better understand, relate and report on the success of the Wavumbuzi Challenge, we’ve implemented a pre-challenge survey that we encourage learners to complete prior to the Challenge start. This survey provides us with helpful insight into the behaviour, user profile, and entrepreneurial understanding of students prior to the challenge. Once the challenge is completed, we repeat a similar survey process with a Post-Challenge Survey to compare behaviour, broaden our understanding of challenge impact and gather deeper insights about the challenge - opening up ways towards ongoing improvement.
Encourage learners to log in to the Gameworld and complete the first quest world which is the Training Centre.
The Training Centre assists learners in exploring and familiarizing themselves with the Wavumbuzi world. All the challenges in the Training Centre need to be completed before they can move onto another quest world.
This includes drafting & sharing all the necessary information on the communications channels (email, SMS, WhatsApp + social media) regarding:

Continuation of sharing social media posts on the different channels as part of the build-up to the launch of the Challenge starting.
Continuously engaging with all followers by responding to comments and any messages that come through.
Continuously monitor all the social media channels so that no messages/comments/tweets or stories go unnoticed.
Continuous monitoring, updating and launching of new social media ads to keep content fresh and exciting (i.e. we do not want one social ad to run for the entire duration of the recruitment phase, we want to have a variation of at least 5-8 different ads).
