As we transition into the offseason, campground activity naturally slows. This memo provides clear guidance to General Managers on store hours, staffing, inventory purchasing, and expense management to ensure responsible spending while maintaining guest satisfaction and operational readiness.
Store Hours & Guest Services
Adjust hours to match guest demand, ensuring coverage during peak arrival/check-in times.
Post adjusted hours clearly at the store and add here: SSC Store Hours
Maintain coverage for late check-ins, emergencies, and essential guest needs.
Staffing Guidelines
Base schedules on reservations and anticipated occupancy; avoid overstaffing.
Cross-train team members to cover multiple functions with leaner teams.
Overtime should be avoided unless approved by Regional Director.
Reduce seasonal/part-time hours first, keeping core team members for continuity.
Store and Campground Inventory Purchases
Limit store orders to best-selling, high-turn items only.
Defer seasonal or bulk purchases until spring unless approved by Regional Director.
Purchase only essential maintenance items required for safety, compliance, or urgent repairs.
Utilize existing supplies before placing new orders.
Expense Management
Monitor and adjust thermostat settings in all buildings and lodgings for efficiency. (AC/Cooling Season: Occupied: 74-76 degrees, Unoccupied 78-80 degrees; Heat/Warming Season: Occupied: 68-70 degrees, Unoccupied 60-62 degrees)
Turn off or reduce lighting, equipment, and nonessential systems when not in use.
Address only safety, compliance, and guest-impacting repairs immediately.
Reduce contracted service frequency (trash, landscaping, pool) to offseason levels.
Reporting & Accountability
Continuing addressing your weekly occupancy and labor reports to Regional Director.
Document all deferred purchases/projects for review during preseason planning.
Highlight any guest experience risks caused by cost reductions.
Leadership Expectations
• Treat each purchase and scheduling decision with fiscal responsibility.
• Communicate changes clearly to staff and guests.
• Balance guest satisfaction with cost control in all decisions.
