1. Name and Purpose
The name of this group shall be the EDUCAUSE IT Service Management Community Group, or “ITSM CG”.
The purpose of the group shall be to advance knowledge and further the capability of IT service management in higher education.
We encourage diversity and active participation from all.
Anyone may become a member of the ITSM CG by signing up on the EDUCAUSE ITSM CG web site.
EDUCAUSE or the ITSM CG group leaders shall have the right to remove members if they repeatedly violate the ITSM CG code of conduct.
EDUCAUSE has rules for CG group leaders that supercede these rules.
There shall be three CG group leaders:
Past Chair
Chair
Vice-Chair
The Chair is the primary point of contact between EDUCAUSE and the ITSM CG. The Chair shall facilitate steering committee meetings and conduct other activities as described in this document.
The role of the Vice-Chair is to serve as the Chair when the Chair is unavailable. The role of the Past Chair is to advise the Vice-Chair and Chair, and to serve as the Chair when the Chair and Vice-Chair are unavailable.
All group leaders shall attend steering committee meetings regularly.
At the beginning of each calendar year, the Chair becomes the Past Chair and the Vice-Chair becomes the Chair. Soon after, a Vice-Chair shall be selected by the steering committee on the basis of a person’s interest in serving and evidence of past participation in the ITSM CG. The total commitment for an incoming Vice-Chair is therefore three years.
If for whatever reason a group leader is no longer eligible to serve, the steering committee shall identify replacements.
In the event of a conflict, EDUCAUSE shall be the final decision-maker of who serves as Past Chair, Chair, and Vice-Chair.
The ITSM CG’s steering committee shall meet monthly. The Chair shall announce these meetings to the membership and convene these meetings. The steering committee meetings should be open to all members who would like to attend.
The purpose of the steering committee is to review the progress of the ITSM CG, identify steering committee initiatives, and support progress towards completing these initiatives.
The steering committee shall identify initiatives that further the mission of the ITSM CG, such as webinars, other events, or studies of ITSM CG membership.
All initiatives shall have a volunteer who will be the point person for the initiative. Steering committee attendees are encouraged to volunteer as they are able.
The Chair shall maintain a list of active steering committee initiatives along with the identified volunteer for each initiative.
When someone can no longer provide time towards supporting an initiative, they shall notify the Chair. If there is no replacement volunteer then the initiative shall be stopped.
The ITSM CG shall define and publish to its members a code of conduct for its membership. This code of conduct shall define appropriate and inappropriate uses of ITSM CG resources such as the listserv, and other expectations for members.
The steering committee is responsible for recommending changes to the code of conduct. Changes to the code of conduct are made when there is consensus between the Past Chair, Chair, and Vice-Chair.
The steering committee shall ensure an ITSM CG knowledge base exists and is maintained appropriately with content relevant to the mission of the ITSM CG.
The steering committee shall identify, promote, and execute ITSM CG events such as webinars and small group discussions.
The Chair shall identify which ITSM CG activities are official ITSM CG activities.
The membership is highly encouraged to create activities for the membership, such as small-group discussions. If anyone would like these to become official ITSM CG activities they shall attend a steering committee meeting to discuss these activities.
