IT Crisis Comms - Notify IT First

Send a brief message to IT staff through the IT-headsup communication channel. Remember this channel won't work if Rice email is down.

Email IT-headsup@your.edu (moderated mailing list)

Examples of brief messages:

    • SAKAI is down

    • lost connection to non-Rice Internet

    • high, sustained Rice email activity surge

    • compromised server, shutting down services

There is also a MIR3 channel set up by Barry, but not everyone in IT can send messages to it. This is dependent on Internet access to a website.

Using MIR3 for IT Heads Up

Requirements:

    1. You need to be an approved user (Help Desk staff or a core communications sender) Note - in a real binder the bullet points below would have names, not just titles. In a crisis, you need everything written out in front of you, nothing should have to be looked up.

        • Help Desk Manager

        • Help Desk person #1

        • Help Desk person #2

        • Help Desk person #3

        • Help Desk person #4

        • IT Communications Manager

        • IT Telecommunications Manager

        • Infrastructure Director

        • IT Security Officer

    2. You need to have an account on an mail system outside of Rice such as GMail, Yahoo or Microsoft

    3. Your external email address needs to be registered with the Mir3 stewards via Carlyn.

Process: How to send an IT Heads Up through Mir3. It will go to all IT Heads up recipients via SMS text and Rice Email

    1. Login to your external email account

    2. Compose a message to <your Mir3 netID>@notify.mir3.com

    3. In the subject line type "IT Heads UP"

    4. In the body, restrict your message toless than 100 charactersdue to SMS message character limitations.

        • Identify the specific potential problem. Example: Possible campus email problem

        • For more detailed notes, include a link to a wiki page or web page. Example: Cyrus Email problem

    5. Send the message

    6. You should be in the recipients' list and will therefore receive a message in your Rice email and cell phone.
