Nominating Task Force Charter

This Nominating Task Force is a Task Force under the Membership Committee Charter, which will be its Oversight Committee.
To identify and recruit qualified and diverse candidates for APA Utah Board positions in accordance with the Chapter’s bylaws and APA National election timelines and procedures. The Task Force ensures a transparent, inclusive, and equitable nominations process.
Any Utah Chapter Member may seek to serve on a Task Force.
Task Force members shall be appointed by its Oversight Committee.
Appointments will occur at the beginning of the governing year.
The Oversight Committee may fill vacancies or remove a member at any time, with or without cause.
The Lead will be appointed by the Chair of its Oversight Committee.
The Lead may request a Vice-Lead as well as recommend an appointee.
If a Vice-Chair is needed, one will be appointed by the Chair of its Oversight Committee.
The Task Force shall have at least three (3) members and no more than eleven (11) members.
Task members shall serve a minimum of one (1) work period term, with no limit on terms served.
The Lead and Vice-Lead terms will end at the end of the work period.
Meetings and Attendance
Meetings will occur as needed during the work period.
The meeting schedule will be determined by Task Force at the start of the work period. Additional meetings will be scheduled in the lead-up to the nominations deadline.
Task Force members are expected to attend no less than 75% of scheduled meetings.
The Oversight Committee for this Task Force shall be the Membership Committee.
A majority of a Task Force constitutes a quorum.
Any approvals made by the Task Force require a quorum to be present, followed by a majority vote of the quorum.
The Task Force Lead will report activities to its Oversight Committee as requested, but no less than monthly.
Task Forces may collaborate with other APA UT Chapter Committees, Task Forces, or Engagement Groups.
Minutes of all Task Force meetings will be kept and preserved for record-keeping.
Review open Board positions and eligibility requirements per APA Bylaws.
Develop and promote a call for nominations that encourages a diverse and qualified pool of candidates.
Identify and reach out to potential candidates.
Review candidate submissions and verify qualifications.
Ensure equitable representation from across regions and professional backgrounds.
Submit the final slate of candidates to APA National according to the consolidated elections timeline.
Coordinate with the Communications team to promote election information.
Support candidates in preparing campaign statements and materials.
Ensure alignment with APA National election procedures and deadlines.
Maintain transparency and impartiality throughout the nominations process.
Maintain confidentiality and protect sensitive candidate information.
Debrief post-election to evaluate and improve future cycles.
While not required, members with the following are encouraged to participate:
Understanding of APA Utah governance and structure
Strong interpersonal and outreach skills
Awareness of equity and inclusion principles
Familiarity with APA’s Consolidated Election process
Experience in nominations, recruitment, or volunteer engagement
Attention to detail and ability to manage deadlines
The Nominating Task Force will be active from approximately February to May.

Monthly: 3–4 hours
Peak Season (March–May): 6–8 hours
Task Force Members
Monthly: 2–3 hours
Peak Season (March–May): 4–6 hours
This charter may be reviewed annually by the APA UT Board and updated as necessary to reflect evolving organizational priorities and opportunities.
