Awards Task Force Charter
Authority
This Awards Task Force is a Task Force under the Professional Development / Programs Committee (PDPC) Charter, which will serve as its Oversight Committee.
Purpose
To recognize outstanding planning projects, individuals, and initiatives that contribute to the advancement of planning in Utah through the administration of the Chapter’s annual awards program.
Membership
Any APA Utah Chapter Member may seek to serve on a Task Force.
Task Force members shall be appointed by the PDPC (Oversight Committee).
Appointments will occur at the beginning of the governing year.
The Oversight Committee may fill vacancies or remove a member at any time, with or without cause.
Task Force Lead/Vice-Lead (if needed)
The Lead will be appointed by the Chair of the PDPC.
The Lead may request a Vice-Lead and recommend an appointee.
If a Vice-Lead is needed, they will be appointed by the PDPC Chair.
Size and Terms
The Task Force shall have at least three (3) and no more than eleven (11) members.
Task Force members shall serve a minimum of one work period, with no limit on terms served.
The Lead and Vice-Lead terms will end at the conclusion of the work period.
Meetings and Attendance
Meetings will occur monthly during the work period (typically spring or summer).
The meeting schedule will be determined at the beginning of the work period.
Additional meetings will be scheduled as needed for nomination review and coordination.
Task Force members are expected to attend no less than 75% of scheduled meetings.
Operations
The Oversight Committee for this Task Force is the Professional Development / Programs Committee (PDPC).
A majority of Task Force members constitutes a quorum.
Any approvals made by the Task Force require a quorum to be present, followed by a majority vote.
The Task Force Lead will report activities to the PDPC as requested, but no less than monthly.
Task Forces may collaborate with other APA UT Chapter Committees, Task Forces, or Engagement Groups.
Minutes of all Task Force meetings will be kept and preserved for record-keeping.
Responsibilities
Coordinate all aspects of the APA Utah awards program, from nomination to presentation.
Design and maintain award categories, nomination materials, and evaluation criteria (forms, rubrics).
Encourage diverse and representative nominations.
Promote the call for nominations and award opportunities through Chapter communication channels.
Review and score submissions based on established rubrics.
Recommend award recipients to the PDPC and APA Utah Board for final approval.
Draft awardee bios and summaries for use in ceremony materials.
Coordinate with the Conference Task Force for award presentation and ceremony logistics.
Order, verify, track the production of, and distribute physical awards.
Commit to impartiality and confidentiality during the evaluation process.
Helpful Skills, Backgrounds, Interests
While not required, members with the following are encouraged to participate:
Familiarity with planning principles and APA recognition programs
Experience with proposal or award review processes
Clear written communication and attention to detail
Ability to manage logistics and timelines
Comfort using shared documents, spreadsheets, and virtual meeting tools
Time Commitment
The Awards Task Force will be active from April to September.
Estimated monthly time commitment:
Task Force Lead/Vice-Lead: 3–4 hours; Peak Season*: 6–8 hours
Task Force Members: 2–3 hours; Peak Season*: 5–7 hours
*Peak Season is defined as July through September, leading up to the Fall Conference and award presentations.
Charter Modifications
This charter may be reviewed annually by the APA Utah Board or PDPC and updated as necessary to reflect evolving organizational priorities and opportunities.
