Music education resources are basically a browsing collection, although bibliographic, holdings and item records are entered in Alma. Originally the collection was noncirculating, but over time decisions were made to make various parts of the collection circulate. At present, all of the collection circulates and the noncirculating location for the collection is no longer used.
New cataloging
Adding new titles to the collection is rare. Most of the collection came to us from the Music Education Department, and orders for these materials are pretty much never made. Occasionally they may arrive as a gift
Music Education Resources are cataloged at the series level. One record is chosen for all parts of the series, which will have multiple item records attached
These materials have no call number. They are shelved in title order. If the filing element is unclear an explanatory note may be added to the holdings record.
If the bibliographic record chosen contains a call number, delete it. In the absence of a call number, Alma will pull in a call number that exists in the bibliographic record
The titles are updated in OCLC. In its early days as a browsing collection, records were imported but not updated, but all holdings have now been updated in OCLC
Bibliographic record example:
Holdings record will list all separate parts, generally using the designations on the items themselves
Holdings record example: in this case a note about filing was added to indicate that the title is filed un Sueta rather than Ed.
Item records are created for each separate piece.
The designation on the item will be the preferred volume designation
Each piece will have a single barcode on the front cover
Each piece will also have either a label that says Sibley Music Education Resources. In some cases a rubber stamp has been used.
Example: Item list. In this example the set includes sound cassettes and books in addition to scores. The appropriate Material Type is used for each.
Example: Item record
Music Education Resources are seldom sent to the Bindery. Occasional exceptions have been made. They are housed in standing files or sturdy envelopes (found on the bottom shelf under New Serial Titles, outside the Head of Cataloging's office). The cataloger has generally made their own labels, using Word. A location stamp may also be ordered.
