Using the call number provided by Acquisitions, display the bibliographic record in Alma and check to see if additions are needed to the 505 field. Also check to see if ISBNs (020), ISMNs (024), and/or plate or publisher's numbers (028) need to be added to the record.
Edit the holdings record, following the format established. Consolidate holdings if this has not already been done.
Create item records following the format for enumeration established in previous item records.
Mark and barcode the item(s). All M3’s are labeled NonCirc unless there are specific directions otherwise. Labeling conventions may differ somewhat from the way the volume designation appears in Alma/Summon.

NOTE: For performance parts that may come with M2 or M3 scores, assign a separate call no. in an appropriate class, (e.g., M452, etc.) and use location sibstack, item policy monograph. This should only be done if the separate parts are complete in themselves. If the score is in the main volume and is required for performance, class the parts with the score.
NOTE (June 4, 2025): For the Donizetti collected works (M3.D6835 1991), Sibley's volume numbering does not correspond to the numbering in the WorldCat record. This is because the Maria Stuarda volumes were designated as two volumes rather than two parts of a single volume (i.e., v. 1 and v. 2, versus v. 1.1 and v. 1.2). Do not overlay the record with updated versions of the WorldCat record. Instead, manually add new or corrected data, so that Sibley's existing volume numbering remains intact.
Analyzed sets
For certain M3's (see the list of composers below), separate records are created for each title in addition to adding the volume information to the main record.
If the set requires a separate item for critical commentary, it works best in Alma to have all items attached to one holdings record. Consider the word Suppl. to be part of the volume number, rather than a separate call number.
v. 1 (score)
Suppl. v. 1 (commentary)
Edit the set record to update bibliographic, holdings and item records as above
Do not create a holdings record on the analytic record
Search for copy for the individual volume or create new copy as needed
In the analytic record add a 773 field (Host Item Entry)
First indicator is 0
The MMS id for the complete set record in $$w
The volume number of the item in $$g.
Precede the volume number with no:
Be sure the volume number is entered exactly as it appears in the enumeration fields of the item record. Variations in spacing or any other element will result in failure in the linking process.
773 0_ $$t The Bohuslav Martinu complete edition $$w 9958911753405216 $$g no: IV/3/2
If more than one volume needs to be linked to one bibligraphic record, add a separate 773 field for each:
773 0_$$t The collected works of Josquin des Prez $$w 99245343405216 $$g no: v. 4
773 0_$$t The collected works of Josquin des Prez $$w 99245343405216 $$g no: Suppl. v. 4
The link will be created in an automated process that runs overnight. The next day the record should be checked to see that the link has been created. A green checkmark in the related record column indicates that the link has been made. The holdings of the set record should also appear in the inventory of the analytic record.
This procedure is currently being followed for the following composers, and will include any new M3 sets
Appenzeller, Benedictus (M3 .A646 2020)
Bach, Johann Sebastian (M3 .B11B 2010)
Bach, Wilhelm Friedemann (M3 .B118 2009)
Bartok, Bela (M3 .B2925 2016)
Boccherini, Luigi (M3 .B664 2005)
Brahms, Johannes (M3 .B813)
Bruckner, Anton (M3 .B888 2016)
Cavalli, Francesco (M3.1 .C377 2012)
Note: The publisher does not supply volume designations. The volume designations used at Sibley are de facto accession numbers, reflecting the order in which volumes have been received. Do not overlay the set record in Alma with an updated version of the WorldCat record. Instead, either manually enter new/revised information in Alma, or copy and paste such information from WorldCat to Alma. This will ensure that Sibley's existing volume designations are not lost in fields 024, 028, and 505.

Fux, Johann Joseph (M3 .F996 2016)

Grandi, Alessandro (M3 .G753 2011)
Hammerschmidt, Andrea (M3 .H224 2015)
Janáček, Leoš (new series: M3 .J33 2001)
Sibley holds two sets of Janáček's collected works. The set published by Editio Janáček (OCLC #862062403) is the one that is analyzed. The set published by Bärenreiter/Supraphon (OCLC # 14272428) is not analyzed. The sets appear to be distinct. Be sure to add new volumes to the correct set record and create analyzed volume records only for the Editio Janáček volumes.

Occasionally a new edition of an individual volume in a series is published. It will have the same call number as the earlier volume, but with the date of the newer edition added. The date will be part of the volume designation in the item record.

Return green slips to Acquisitions.
Added copies for circulation:
Added copies of M2 and M3 volumes that are meant to circulate should be given a new call number that is appropriate to the class of the score.
Example: M2 .O595 v.2 copy 2 is a full score of an opera by Edouard Lalo. The second copy will be classed in M1500 for circulation.
