Ceased/Dead Serial Titles Checklist

Serial That Ceases Publication:  the processing steps are very similar to closing off an old title when a title changes. 

• Make sure that the title is really dead, and hasn't simply changed title in some way.  Search OCLC for the old title.  If the record has been closed off (see next bullet below for what fields to check), import it and overlay the existing record in Alma

• If old title hasn't been closed off in OCLC, edit the bib. record in Alma as follows:

·         008 Publication status:  code as "d" (dead)

·         008 Ending date:  code as 1990 (date known), 199u (decade known), or 19uu (century known); etc.

·         264 $c add closing date if last piece is in hand (e.g. $c 1978-1996)

·         300 $a number of bibliographic volumes, if known (otherwise leave as "v.")

·         closing designation: 

·         362 0- $a 1963-1983 if last piece is in hand; otherwise

·         362 1-  $a Ceased in 1983.

·         Edit the Bound Journals holding record(s) for the title as follows:

·         Close off summary holdings in 866   (e.g.  866 30  $a v. 1-10 (1970-1980))

• Either delete (if possible) or mask the holding record for Current Periodicals.  If masked, add 852 $x note "Do not use".

• Edit our local holdings record in OCLC Connexion

Editing local holdings records in OCLC Connexion

• With the WorldCat record open, go to the Tools menu and click on Launch Local Holdings Maintenance. The local holdings record will open in a browser tab or window.

• Edit the areas of the record that have an open date. Not all holdings records will have the date coded in multiple fields.

• When finished, under the Action menu, choose Replace Record. A confirmation message should appear indicating the record was successfully replaced.

• You may close the browser tab or window.

Canceling a subscription to a serial that is still being published:

• There is no need to edit the bib. record in Alma

• Edit the Bound Journals holding record(s) for the title as follows:

  • Close off summary holdings in 866   (e.g.  866 30  $a v. 1-10 (1970-1980)

  • Make sure 008 is coded correctly for:

    • Current receipt status

    • Completeness

  • Add a note to the 852 $x (non-public note) indicating when the subscription was cancelled.

• Either delete (if possible) or mask the holding record for Current Periodicals.  If masked, add 852 $x note "Do not use".

• Edit our local holdings record in OCLC Connexion, as above, under Serial That Ceases Publication
