Assigning Alma locations
The codes in parenthesis are Alma's location codes for 852 fields in MARC holdings records. They can be accessed in a drop-down menu when editing a holdings record by using the form editor
Sibley Music Stacks (Circ.) (sibstack): All items are placed in this default location, unless one of the following conditions apply
The locations below are Items marked with a yellow flag:
Reference (sibref)
Rare Books Reference (sibrareref)
Quick Reference (sibqckref)
Periodicals (sibbndjrnl)
ML1-46 (CAVEAT: It is assumed items in these classes are periodicals; if they are clearly not, they should circulate)
Restricted Circulation (sibrstrctd): The following types of books are placed in Restricted Circulation
ML93-159 (CAVEAT: It is assumed items in these classes are either manuscript facsimiles or bibliographies; if they are clearly not, they should circulate)
Some books may be designated for Restricted Circulation for reasons of condition, rarity, etc. Other than in 1 and 2 above, apply only if written instructions accompany the item.
Folio (sibfolio): Generally, items that are over 15 in. (38 cm) in height or 13 in. (33 cm) in width are to be placed in Folio. The Bindery has provided a 15-in. template to use as a guide for height.
Restricted Circulation Folio (sibfoliorc): used primarily in location changes; assign new scores here only with written instructions
Archives (sibesmarch): Items with Eastman connections may be designated for the Archives. Apply only if directed in written instructions with the item.
Storage (sibstorage): In rare cases, an incoming item may be placed in Storage. See written instructions with the item. Some older items in Storage may be considered Circulating. New items will always be assigned to Storage as Noncirculating. Most items are sent to Storage as location changes generated by the Brittle Books Program
Storage Withdrawn (sibstorwdn)
Used mostly for location changes. Use when instructed by the Bindery, generally when an item is digitized or photocopied for preservation.
Locations for scores only:
Miniature score (sibminscor): Scores only 25 cm. and smaller.
Restricted Circulation Miniature Score (sibminscrc):
Used primarily in location changes; assign new scores here only with written instructions
Collected works (sibcollwks): M2’s (Denkmaler) and M3’s (Gesamtausgabe): generally classed here based on type of publication and/or instructions from Acquisitions Dept.
Note: Separately published parts for M2 or M3 scores:
If a class can be easily determined (e.g., M452), then class separately to circulate. An additional Alma holdings record will be required for the circulating call number.
If a class cannot be easily determined or if the parts cannot be used without the score, then use the M2 or M3 class of the score.
Create an additional holdings record (in Alma), with "Parts" appended to the call number ($$h M2 $$i .R295 v. 23-24 Parts).
For the written call number, write "Circ" above the call number, and "Parts" at the end (Circ. M2 .R295 v. 23-24 Parts)
Sound recordings, videos, etc.:
Recording Stacks (sibrecrd): Compact discs, LP’s, cassettes, videocassettes, DVD’s, electronic resources and mixed media are all assigned this location.
Sound recordings, videos or computer files accompanying books or scores: If a book or score is bundled together with one of these types of items and the item has been separately accessioned, make a second holdings record for the accompanying item, using the location and item type appropriate to the type of material. If the item is not separately accessioned, it will not need a separate holdings record. In both cases, the item should be accounted for in the 300 field of the bibliographic record:
300 35 pages : $$b illustrations ; $$c 22 cm. + $$e 1 sound disc (4 ¾ in.) [book with CD]
300 1 score (22 pages) ; $$c 32 cm. + $$e 1 sound cassette
Circulating Media
Items coming from Acquisitions designated as Circulating Media will be treated this way:
· Accessioned as Media
· Location: sibrecrd
· Item policy: Monograph
· Note added to 852 $$z: This item circulates.
Map Case
Items to be placed in the map case should use the location sibfolio, contain "Folio" in the call number and include this public note in the holdings record: "Located in map case".
