An item needing a location change will usually be accompanied by instructions as to what the new location will be.
Changing the location of an item
In Alma a location is changed by changing the location code in the holdings record 852 $$c:
Old location: $$b ESM_SML $$c sibstack $$h M7 $$i .H74
New location: $$b ESM_SML $$c sibremsto $$h M7 $$i .H74
The change will carry over into the item records associated with the holding. There is no need to edit the location in the item record or records.
The new location code, if not known, may be selected from a drop-down list. Place your cursor in the $$c and enter Crtl-F. This will open the forms editor and display a dropdown in the $$c area. The forms editor may also be opened from the Edit menu.
Decisions:
Is this the only copy attached to this holdings record? If so edit the existing holdings record to reflect the new location.
Are there additional items attached to this holdings record which will remain in the old location? If so create a new holdings record reflecting the new location. Either relink the old item to the new holdings record, or delete it on the old record and create again on the new.
Does an appropriate holdings record already exist? If so, relink the item to the correct record, or delete it and create it again on the correct holdings record. If you move the last remaining item from one holdings record to another pre-existing record, delete the old holdings record.
NOTE: If the item is accompanied by a Brittle Books Form, always make sure the form and the item are returned to Alice Carli (place on her shelf in the mail room) when you are finished making the location change.
Specific paths:
To Storage (from any other location)
Inside the item: Write Storage in pencil above the call number.
In Alma: Consult the Brittle Books form to see whether the item is being withdrawn or just sent to Storage. If both Storage and Withdraw are checked, the location will be Storage Withdrawn (sibstorwdn). If the form says Storage only, the location will be Storage (sibstorage). In either case, do not change the temporary location, which will usually be Location Change. The Bindery will remove this later.
Annotate the Brittle Books form as to action taken. Check off Loc. Ch. and add your initials and date. Keep the form with the item and place both on Alice Carli’s shelf in the mail room.
From Reference to Stacks
Consult What Goes Where: Assigning Alma locations to determine what the appropriate location will be. If the item in not in an ML class, send it to Circulating Stacks. If it is in ML, it may be in Restricted Circulation.
To Rare Books (from any other location)
Inside the item: Write Vault in pencil above the call number.
In Alma: Change the holdings location to sibrare. Add the accession number of the item in a $$x field after the call number.
Example: 852 0 $$b ESM_SML $$c sibrare $$h M215 $$i .V919co $$x Accession no: 671921
Do not change the temporary location in the item record, which will usually be Location Change. The Bindery will remove this later.
If the item is accompanied by a Brittle Books form, annotate it as to action taken. Check of Loc. Ch and add your initials and date. Keep the form with the item and place both on Alice Carli’s shelf in the mail room.
Other paths:
There are other possibilities of location changes not listed above, which occur less often. For example, an item may be moved from the Stacks to Reference, or from any location to Rare Books Reference. Whatever the case may be, use common sense and follow the general instructions given at the top of this form. Reading through the examples above will also be helpful.
