Identifying copy: A number of records for any given thesis often exist in OCLC. The record is a match if it contains a 533 note indicating that the item is a photocopy. If the item in the record is a microfilm the record cannot be used, but may be used to derive a new record. If there is no note saying photocopy the record stands for the original item and cannot be used, but may be used to derive a new record.
Fields to check:
Fixed field: All information in the fixed field should be coded for the original item, not the photocopy, with the exception of Form.
Form: Code r (regular print reproduction)
Ctry: Should be coded xx (no place of publication given). This is incorrect in many OCLC records
DtSt: Date type here refers to the original item, not the photocopy. This is incorrectly coded in many OCLC records
Dates: Dates from original item. Often incorrectly coded in OCLC records.
502: Dissertation note. Should be in the form on attached printout.
533: Reproduction note. Should be in the form on attached printout. The date and size do not have to match our item to be considered a match, but they should be edited to reflect out item.
539: Fixed field information for the photocopy. Code as in the attached printout. See OCLC formats for more information about meaning of these codes.
