Instructions for items currently available in URResearch. Instructions for embargoed items are found below.
Find the corresponding OCLC record by whatever method you prefer, i.e.
copying the call number, locating the Alma record and copying the OCLC number
keyword searching to find the Alma record, then copying the OCLC number
some URResearch records include an OCLC number
NOTE: If the OCLC record now has a 776 field indicating that a record for an electronic version exists do not add the linking fields to the print record. Follow the instructions below for adding the link to the provider-neutral record for the electronic version.
Copy the url (https://hdl.handle.net/1802/....)
In OCLC
Apply the constant data record: New Dspace
Insert the copied url into the 856 field in the bibliographic record
Make additional edits and improvements to the record as needed
Export the record to Alma
In Alma
Locate the record in Alma and click on edit
Copy the URResearch url
Click on Add portfolio (briefcase icon)
Scroll down to Inventory and Linking Information
Paste in the url
Select material type from the dropdown
Click Save and Done
Embargoed items
Embargoed items will not have links added in OCLC until their embargo is ended. Instead a 583 field is added to the master reccord to show that the item has been digitized.
In OCLC
Locate the OCLC record as above
Apply the constant data record: 583 digitized Sibley only
This inserts a 583 field indicating that the title has been digitized.
OR manually add field 583. All fields except for $$3 and $$c will be identical in all cases (see examples below)
Insert the date digitized as found in the URResearch record in coded form in $$c.

There is no 856 field added at this time because the item is not currently available to the public.
In Alma
Construct a "call number" for the record consisting of the year embargo ends followed by the barcode of the item. These can be used to locate all embargoed items that end in a certain year. The bindery sends notifications each year as to which items are out of embargo so that links can then be added in OCLC and Alma

Provider-neutral record for electronic version exists in OCLC
If the retrieved OCLC record now contains a 776 field like the one below indicating that there is a separate record in the database for an electronic version, do not add our fields to the record.

Locate the OCLC record for the electronic version using the OCLC number in ǂw and add an 856 field to that record as in the example below. There will already be at least one 856 field in the record and there may be several. Replace the record.

Edit our own bibliographic record as usual and create a portfolio as in 1. above.
This may be done by editing the original record for the print version and importing to Alma, being careful not to replace the original record, or it can be done by editing the local Alma record directly.
