March 14th, 2019
Monthly meeting was begun and the board members thanked for contributing their time.
Minutes were read and approved by the board. Questions about issues raised in the minutes were deferred until their scheduled time.
Bills and dues were discussed and handled by TPM and the board. Concerns about rising sewer and water bills in the association were discussed. City ordinances have changed billing for multi unit meters like our to bill a base rate not by meter like previously but by unit served. On top of that our water usage fees have gone up significant'y as well.
Rains and Drains:
Difficulties with some units have always been issues, water flow on the far east and west sides are particularly problematic, resulting in small ponds forming on lawns and water flowing into garages. Much of this is preventable by more frequent servicing of the storm drains located on the road. The south drains on the east and west sides are particularly quick to clog. Megan Knapp and Kenneth Grow volunteered to keep an eye on these and keep them clear in the event of rain storms.
Budget:
Provo City bills were discussed and concerns about them raised. Including water conservation information in an upcoming Newsletter to owners / residences was discussed. TPM will be seeking a new company to do the lawn care and will be collecting bids through out March and present them to the board.
Amenities increase:
With the increased utility costs the operations budget is over stretched. The board considered some measures to take that would reduce this burden. Measures included cancelling the Comcast amenity, Creating low water use areas in the lawns, & Increasing amenities. A polling of the owners and residents was considered. No decisions were made on these items.
Reserve projects:
New lower bid was submitted by the selected company to perform retaining wall repair. This is because they will be able to use railroad ties instead of concrete contrary to previous indications. The board accepted the bid and repairs should be starting through the spring.
Next project to get bids on is the cement repair of the sidewalks, but elected to wait until warmer weather before undertaking bids.
Low water areas:
The board selected the grass areas west of Shadowbrook Drive and the sign by the corner of 3300 N & University Ave as areas of low foot traffic that could benefit from a low water use landscaping. Preliminary bids are being sought to get an idea of cost before any decisions are made to undertake this project. Community involvement to reduce the costs of the change would be preferred.
Clubhouse:
Basement clean up was performed but many other things remain in the basement that may require board approval before discarding. No future date for this inspection was selected. Vacuums usefulness was discussed but no decision was made to replace them. Rob has been insuring the trash cans for the clubhouse gets to and from the curb.
Lights Out:
Lights on the homes of units in blocks at 3201 Shadowbrook Cir, and Candlewood Ct. are out. This seems like more than just burnt out bulbs. TPM will be inspecting the areas to see if electrical work is needed on those blocks.
Newsletters:
The board will be striving to send out newsletters via mail / email to owners and residents. Topics we would like to include in these are water use, who to call for pool and clubhouse booking, opportunities for community volunteers, and plans for the spring clean up.
No questions were asked in the Open Forum.
Executive meeting time was spent going through the office area and cleaning up maps that were no longer relevant to Shadowbrook business.
