Diana welcomed all in attendance and gave thanks to all the community members who helped with planting and other project throughout 2018.
Owners of corporations can be considered owners of Shadowbrook units.
Lawn rehabilitation was undertaken in 2018 thanks to Rob Sperry for those efforts. Removal of 8 trees was completed, and Pyracantha were cut back from the roads and other overgrown areas. Bridges were repaired and painted, and painting of designated owner units are completed. TPM has changed out the keys for the pool for electronic fobs for owners. Schipper Clawson is reviewing security cameras when necessary. Clubhouse doors and the pool heater were worked on as well. Gutter cleaning will be finishing in the spring. The reserve study was completed in 2018 as well as the removal of the insecure drop box for amenities. Amenities can be dropped off at the secure drop box at TPM.
TPM’s role in management was laid out. They follow the direction of the Board and Collect amenities, enforce rules and policies, send newsletters and individual owner communication, pay bills, provide monthly and annual statements, negotiate competitive bids, distribute COA information to buyers, stay updated on current laws affecting the association, and assist in preparing the annual reports. This only costs $8 / unit.
Financial report was presented (see attached)
Provo city water will keep increasing to cover new sewer plant and further home expansion on the west side of Provo. Water tank on the east needs replacement and rates are increasing to pay for this project as well.
Reserve projects were considered for 2019. The retaining wall repair was selected to get bids on and considered. The east lawn and how it is used is another topic of discussion. It has high water use and low owner use. Conversion to more native species that requires less water is being considered to help keep amenities down. Roads were considered as a project but seeing they were done last in 2014 they will probably wait unless critical patching is needed in spots. The board is planning on sending out newsletters to owners helping them conserve water.
Ballot counts were completed and Ken Grow and Megan Knapp are serving as the new Board members. Ken will be serving as the Secretary and Megan will be filling the vacant at large seat.
Issues discussed included getting more renters to participate in events and community clean up activities, plantings, and BBQ’s.
