For the Tax Authorities, I have to keep track of how many hours I spend on my business to meet the hour criterion. It is also useful for me to keep track of how many hours I spend on something. In the beginning, I kept a detailed record of this in Excel.
The first picture gives an overview of the available tabs. I have created a tab for each week and given it a number. These are the weeks in which I can indicate my hours per week. In the Memo tab I can see calculations with the number of hours worked and in the Annual overview hours tab I can see the number of hours I have spent per project in a year.
On the tabs week 1 to week 52 tabs I fill in the hours I spent on a specific project. The names of the projects appear here automatically, because I filled them in on the tab Annual overview hours. I look up the date and the project then go to the cell were they meet and fill in how many hours I worked on that project that day. The system automatically calculates how many hours I worked that day and week. In column J I can see how many hours I spent on a project in that week.
Copy the file to use this Excel another year. Empty the Excel with the filled in hours. And in week 1 on Monday, fill in the date that falls on Monday in the week of January 1. Fore 2021 I fill in on Monday December 28, 2020. When I fill this in, the other data is automatically adjusted and the overview is ready for a new year.
In the Annual overview hours tab I fill in the projects I am working on. I can do this at any time. I don't have to fill in all projects at once. First I note the project name and then the hours in the week tabs, otherwise I do not see the project names in the week tabs. This can be done in column A. I have already listed a number of subjects for indirect hours. Be free to customize this. This can be done in the tab Yearly Overview Hours. Column BC shows the total number of hours I worked on a project in that year. I have hidden the intermediate columns, which show the hours per week. These would only make the overview confusing.
I do not need to fill in anything on the Memo tab. I only read the data here. This way I can see whether I am reaching the 1225 hours of the tax authorities or how many hours I am still missing. I can also see per project how large that share of hours is compared to the total number of hours.
