Use of Library/Media Centers
- Different parts of the libraries can be reserved for use by class groups. Please make sure to reserve class time in the library/media center well in advance—time slots fill quickly.
- Bear in mind that other classes may be in the library at the same time as yours, make sure to supervise their conduct so as not to disturb other library users.
- When reserving, please discuss with the librarians what activities you’ll be doing with students, and what resources/support you’ll need.
- Teachers may send small groups of students (no more than 4-5) during class time to work independently, as long as they have a pass explaining their assignment and which areas of the library they have permission to use.
- Do not send students to the libraries as a punishment, or for time-out. Large groups of unaccompanied students will not be accepted.
- Students will not be allowed to use the library computers unless they have a signed pass from a teacher, stating the research area or other project.
- The Media Centers remain open for students and staff use until 4:00 p.m. (lower school library) or 5:00 p.m. (upper school library) each day.
- Students with overdue books will not receive their yearbooks until books are returned or paid for. Overdue books at the end of the school year will be automatically charged to the student’s tuition account.
- The replacement fee for all library books is $200 M.N. to cover replacement, shipping, and processing costs. The replacement fee for all textbooks is based on the value of the book.
- Teachers must personally sign out, pick up, and return all AV equipment. Students are not allowed to check out AV equipment other than those digital cameras specifically designated for their use.
- Any photos or video on digital cameras returned to the library will be erased.
- Please return equipment promptly, in clean, neat condition, with all parts and cables.
- The library staff cannot deliver materials to you, but can help with set-up with unfamiliar equipment.
- The library cannot lend books or AV equipment to any individual or group outside the school community.
- The DVDs and other recordings in the library are for classroom use only. Please do not check them out for non-curricular activities, or for your own personal use. Please return them promptly.

Camera check-out by teachers
- certain cameras are reserved for use by teachers only
- when a teacher checks out a camera from the library, he/she should do it in person, not send a student to check out a camera in his/her name; the teacher will sign a checkout form, thereby assuming personal responsibility for the camera at all times
- the camera should be stored in a locked desk or cabinet when on campus
- if the teacher decides to allow students to use the camera, the teacher is responsible for supervising how the camera is used; the teacher is liable for any damage caused to the camera during its use by students
- the camera is to be used only for the duration of the project in question; the camera should be returned as soon as possible so that it is available for other teachers; the camera may not be kept indefinitely; all staff members must return school camera before vacation periods
- all photos/video should be downloaded before returning the camera; memory cards will be erased once the camera is returned
- all peripherals should be returned along with the camera (rechargeable batteries, cables, charger, videocassette, memory cards, camera bag, etc.)
- cables and batteries are ONLY to be checked out with a camera, not as individual loans
- library staff will check the camera’s functionality on its return; the teacher will be charged for any loss or damage to the camera
Camera liability
- the American School Foundation of Guadalajara permanently checks out functioning cameras to teachers and gives these teachers the responsibility for proper care of the equipment; this includes the care of any peripherals that accompany the camera
- if the teacher should leave ASFG, the camera must be returned to the library/tech center in the same condition as received; if the camera is not received or received in poor condition, the teacher will be charged the invoice
value of the equipment if a teacher changes position within ASFG, he/she should consult with the library/tech center if the lending agreement of the camera is still offered
- the teacher who signs for care of the equipment is responsible for the camera equipment on and off campus; if the equipment is stolen while off campus, the teacher is responsible to follow up with a police report before it can be determined who is responsible for payment of the equipment; if the camera is stored in the classroom, the teacher is responsible that there is a safe location with lock and key within the classroom; the teacher is responsible that the camera is always stored there; the teacher is responsible for the camera regardless of to whom he/she lends the camera
- the teacher should not attempt to service any part of the camera without the permission of the library/tech center
Materials to be laminated may be left in the laminating room and picked up the next day. Laminating film is expensive and renders the paper unrecyclable. For this reason, only items that will be used multiple times will be accepted for laminating.
