PERKINS LONG SERVICE CLUB Privacy policy (GDPR)

Perkins Long Service Club (hereafter ‘PLSC’) treats your privacy rights seriously. This privacy policy sets out how we will deal with your ‘personal information’, that is, information that could identify, or is related to the identity of, an individual.

What personal information do we collect?

When you apply to become a member of the PLSC you will be asked to provide certain information. This includes:

  • Name

  • Email

  • Home Address

  • Date of Birth

  • Payroll Number (where applicable)

· Works Dept & Location (where applicable)

· Home telephone number

· Mobile Telephone number

· Emergency contact details

· Any Life Membership subscription payment


HOW DO WE COLLECT THIS PERSONAL INFORMATON?

All the information collected is obtained directly from you, on your membership application.

How do we use your personal information?

We use your personal information:

· To provide our PLSC activities and services to you, in accordance with the aims of the PLSC (as detailed on Website).

· For administration, planning and management of the PLSC

· To communicate with you about PLSC activities.

We may send you messages by email, other digital methods, telephone and post to advise you of PLSC activities.

Who do we share your personal information with?

We may disclose information about you, including your personal information:

· Internally to committee members as required to facilitate your participation in our PLSC activities.

· With the Company Payroll and Pensions Departments as required in order for them to process salary or pension deductions

· Externally to providers of services (e.g. holidays) booked by members through the PLSC where the provider legitimately requires such information.

· If we have a statutory duty to disclose it for other legal and regulatory reasons.

· Your photograph and name may be displayed in reports of our activities on our website and at the Annual Dinner and in material used to promote the Club. You have the right to withhold your consent for this by advising the photographer or event organiser at the time or later. You have the right to ask for your image and/or name to be removed from such reports at any time.

Where we otherwise need to share your information outside of the PLSC we shall seek your permission and inform you as to whom the information will be shared with and for what purpose.

How long do we keep your personal information?

We need to keep your information so that we can provide our services to you. In most instances information about your membership shall not be stored for no longer than 1 year after your membership has lapsed or terminated. The exceptions to this are instances where there may be legal or insurance circumstances that require information to be held for longer whilst this is investigated or resolved. Where this is the case then the member/s shall be informed as to how long the information will be held for, and when it is deleted.

How your information can be updated or corrected

To ensure the information we hold is accurate and up to date, members need to inform the PLSC as to any changes to their personal information. You can do this by contacting the Membership Secretary at any time.

Should you wish to view the information that the PLSC holds on you, you can make this request by contacting the Membership Secretary. There may be certain circumstances where we are not able to comply with this request. This would include where the information may contain references to another individual or for legal, investigative or security reasons. Otherwise we shall usually respond within 14 days of the request being made.

How do we store your personal information?

We have a range of security safeguards to protect your personal information against loss or theft, as well as unauthorised access, disclosure, copying, use, or modification.

Your information is held on a secure spreadsheet and is available to Committee Members as required.

Availability and changes to this policy

This policy is available on the PLSC website, or from any Committee Member. This policy may change from time to time. If we make any material changes we shall make members aware of this.
