Purpose
GHC is committed to continuously improving and growing its Center-Based, Home Visiting, and Partner Network programs. In order to move programs forward and support continuity in program outcomes, the Children Services Department (CSD) implements Quarterly Reviews for every program that operates under its grants. Quarterly reviews enable the program administrators and content area managers to assess results and realign goals, strategies, staffing, and other resources in intentional and systematic ways. The process keeps the keeps the program staff, adminstrative teams, and Leadership consistently engaged and informed of department activities, progress, goals, and needs. Quarterly reviews also work to keeps the all levels of program staff accountable and responsible; and aligned toward the organizations strategic goals.

Quarterly Reviews and Reporting Out
Family Engagement- Trends and program data toward family engagement activities and outcomes, family case notes and program trends toward family engagement, site-based program governance trends, and fidelity to systems.
Health & Safety- Trends and program data demonstrated by PIR data, KPI for safety and compliance, and program incident trends.
ERSEA- Trends and program data toward site attendance, recruitment enrollment, and family demographic information.
Project Liaison-Trends and program data toward financial goals, outcomes, budget fidelity, and spending trends.
Family Support- Trends and program data toward individual family engagement related to family goals, referrals, and resource provision.
Education -Trends and program data toward educational outcomes via TSG.
Disabilities and Mental Health- Trends and program data toward children enrolled with disabilities and supports, current site/ program referrals. Trends and family supports and received services for mental health.
Program quality and productivity – Trends and program goals toward evidence of program quality, staff and program credentials and accreditations, and general family program satisfaction.
Approaches to Presenting and Reviewing the Data
Approaches to Producing Outcomes from Quarterly Reviews
During quarterly reviews, the program administrators and program staff collaborate as a team unit to analyze and review program data by site. During this process, the Quarterly review team engages in the following approaches: Prioritization, where the program staff and program administrators prioritize the possible goals for the following quarter. Planning, program staff, and program administration create plans for accomplishing the prioritized site/ program goals, determine how many of the prioritized goals can actually be accomplished the following quarter and determines the relationship between adjusting resources and the number of prioritized goals the unit can accomplish. Execution program staff and administrators execute the plans to realize the quarterly goals created during the quarterly review. Check where content area managers check progress against the goals. Retrospective, where program staff and administrators reflect on goals, initiatives, activities, and results for the prior quarter and create a prioritized list of adjustments the team proposes to make the following quarter.
Procedures to Quarterly Reviews:
1. All content area managers are required to attend to the quarterly reviews for each program or send a proxy who can present the content area data.
2. Quarterly reviews must be conducted no later than three weeks after the end of the previous quarter
3. Site/program staff should be invited to quarterly reviews.
4. Content area managers must present visual depictions of data during the review
5. All Quarterly reviews must be uploaded into one note after being conducted no later then seven days after quarterly reviews are conducted
6. Each Quarterly Review should include a discussion portion in which program staff and administrators can discuss program data and plan outcomes
