The WSX Mobile Event Reporting function, used in Coillte operations solely for the capture of Road Condition Reports enables truck drivers the ability to record and return to WSX, and therefore Coillte, reports on the condition of forestry roads.
Reports created in the field on WSX Mobile are recorded in WSX and available to Coillte staff via web reporting.
This user guide outlines how to establish Mobile Event Reporting within WSX, its use in the field by lorry drivers on WSX Mobile, and the recording of these events within WSX and associated Web Reporting.
Mobile Event Reporting within WSX is an extension of the Event Log functionality. Activation of Mobile Event functionality is based on activating Event Categories and Sub-Categories for Mobile Event Reporting, with all Mobile Event Reports returned from WSX Mobile are recorded in the Event Log, from which the Web Reporting data is derived.
Activate an Event Category for Mobile Event Reporting by checking the the 'Mobile Event?' checkbox within the Add/Update Event Category screen, and clicking OK to save.
Notes:
Event Categories activated for Mobile Event Reporting will display with a 'Y' in the 'ME' column of the Event Categories screen.
Event Sub-Categories cannot be activated for Mobile Event Reporting without the Event Category first being activated.
Deactivating an Event Category for Mobile Event Reporting will also deactivate any associated Sub-Categories that were set as active for Mobile Event Reporting.
Activate an Event Sub-Category for Mobile Event Reporting by checking the the 'Activate' checkbox within the WSX Mobile Event Reporting section of the Add/Update Event Sub-Category screen. Once activated, additional settings must be established as outlined below
Warn On Selection? - Where activated, this will present the Warning Message text recorded against the Sub-Category within the Mobile Event capture screen on WSX Mobile.
Warning Message text - Where 'Warn on Selection?' is activated, warning message text must be added before the Sub-Category can be saved.
Warning Buttons - Where 'Warn on Selection?' is activated, optional warning buttons can also be activated. Where activated, these buttons also present within the Mobile Event capture screen on WSX Mobile, which the driver must select from before they can send the Event Report.
When activating, the text that will present in the button on WSX Mobile will automatically be set as 'Decline' and 'Accept', however, this text can be edited to display as required.
Show in For Attention - This option controls whether the Mobile Event once recorded in WSX, will present in the 'For Attention' section of the Central Planning Screen (CPS). The following options are available,
Never - Never displays
Always - Always displays
On Decline only* - Displays only where the 'Decline' button selection is returned with the Event Report
On Accept only* - Displays only where the 'Accept' button selection is returned with the Event Report
*'On Decline only' and 'On Accept only' are only available if 'Warning Buttons' are activated.

Where Mobile Events are activated to display in the CPS screen, they will show in the For Attention section with the following detail,
Truck - Truck Code
Time - Time event was captured (sent) from WSX Mobile
Status - Event-Category Name (for Coillte this will always be 'Road Condition')
Location - Crew Code from the associated journey
Mobile Events will continue to display in the CPS until such time as the Event is closed.
Event Status - This option controls the event status of the the Mobile Event once recorded in WSX, with the following options available,
Closed - Event status is set as Closed, set as non-Downtime and non-Notify Further Actions
Open - Event status is set as Open, set as non-Downtime and non-Notify Further Actions
Open - Notify Further Actions - Event status is set as Open, set as non-Downtime but Notify Further Actions activated.
Open - Downtime - Event status is set as Closed, set as Downtime and Notify Further Actions activated.
Notes:
Event Sub-Categories activated for Mobile Event Reporting will display with a 'Y' in the 'ME' column of the Event Categories screen.
Event Sub-Categories cannot be activated for Mobile Event Report unless their parent Category has also been activated
Where the Event Status is set as 'Closed', 'Never' will be automatically set against the Show in For Attention and cannot be edited.
The requirement for a driver to return a Mobile Event Report on WSX Mobile, and the specified Event Category for the event, can be controlled at a Gang Location level.
Within the Gang Location screen, the WSX Mobile Event Report section allows you to set the following,
Require Report - When the job on WSX Mobile reaches the 'At Crew' status, this setting controls whether the driver is prompt to return an Event Report, with the options,
Mandatory - Prompt - Driver prompt and must complete Event Report.
Optional - No Prompt - Driver prompt but not required to complete Event Report.
Optional - Prompt - Driver is not Prompt
Note: The default 'Require Report' setting applied to a Gang Location when established is controlled by the DB Setting 'UseCoillteChangeRules', as follows,
0 = Optional - No Prompt (non-Coillte Default)
1 = Optional - Prompt (Coillte default)
Event Category - Allows for the Category associated to the Event Report on WSX Mobile to be automatically populated with a specified event category.
Where Mobile Event Reporting has been activated for Event Log Categories and Sub-Categories, against each job undertaken by the driver the ability or requirement to capture an Event Report will present.
Where Mobile Event Capture is activated against a job, when a driver confirms the job, an Event Report icon (exclamation mark in a triangle) will present against the job to the left of the status button.
The colour of this icon is dependent on the 'Require Report' setting against the Gang Location associated to the job, with 'Mandatory' setting the icon as red, 'Optional' as blue. Notes,
Where the 'Require Report' setting is 'Mandatory', on Confirming the job, the driver will be presented with a pop-up notification message stating “A Road Condition report is required prior to job completion. Please select the exclamation mark icon to return this report when appropriate.”, with an ‘OK’ button to clear.
Where the 'Require Report' setting is one of the 'Prompt' options, when the job reaches the 'At Crew' status, and an Event Report has not already been returned for the job, the Event Report screen will automatically present. Where the option is,
Mandatory - Prompt - The driver must complete and send an event report to clear this screen.
Optional - Prompt - The driver can either complete and send a report to clear the screen, or select the X on the top right to close the screen without retuning an event report.
Where the 'Require Report' setting is 'Mandatory', on completing and sending an Event Report, the Event Report icon against the job will change from red to blue.
Note: The Event Report screen when auto-presented when the At Crew status is reached, will sit behind the 'Loaded By' screen which also presents, with the driver required to complete the 'Loaded By' return before the Event Report return.
When opening the Event Report screen (manual or prompt), the user will be presented with the following options to complete before the Event Report can be sent. Those options shown below with an asterisk must be completed for the event report to send.
Job Details - Populated automatically, cannot be edited.
Category* - If not auto-populated, either by assigning an Event Category to the Gang Location or if there is only one Event Category available to the driver, the driver is required to select the Event Category from the available selection list.
Note: If auto-populated, the driver may still change if other Event Category selections are available.
Sub-Category* - If not auto-populated by being the only Event Sub-Category available to the driver, the driver is required to select the Event Sub-Category from the available selection list, which is based on the previous Category selection.
Report Detail* - The driver is required to add detail on the nature of the event report being returned.
Photos - The driver can capture photos relating to the report. This is optional.
Warning* - Where present, displays the warning message and if specified, the warning buttons associated with the Event Sub-Category
Note: If warning buttons present, the user must select one of these before they can send the report (even if there is only 1 button present).
Once all required fields are complete, the driver can send the Event Report.
Note: The driver may return more than one Event Report against a journey
Where Mobile Event Reports have been returned to WSX, these are recorded in the Event Log and where activated, may also present in the 'For Attention' section of the CPS screen (as described in the Event Sub-Category section above).
Each Mobile Event Report returned will create an Event Log Event with the following properties,
Date & Time Logged: Date & Time the Event Report was sent from WSX Mobile
Logged By: Automatically set as 'Voiceless_Msg_System'.
Association: Truck
Association Item: Truck Code (from where event was sent)
Event Category: As selected on WSX Mobile by driver (for Coillte will always be 'Road Condition)
Event Sub-Category - As selected on WSX Mobile by driver
Start Date & Time: Date & Time the Event Report was sent from WSX Mobile
End Date & Time: Dependent on assigned Status, i.e.
Open = Blank
Closed = Same as Start Time,
Downtime Event: Set as per Sub-Category 'Event Status' setting
Notify Further Actions: Set as per Sub-Category 'Event Status' setting
Event Status: Set as per Sub-Category 'Event Status' setting
Notes: Includes the following as specified by the driver on WSX Mobile,
Mobile Event (text) and Event Category & Sub-Category
Warning Response: Warning Button selection
Report Detail captured
All Mobile Event Reports returned to WSX are included in the current Event Log reports, and also available within the Mobile Events web report on the new WSX Website.
Note: Currently the Mobile Event Reports and Scheduled Report page are the only available items on the new WSX Website.
To access the Mobile Event Report,
Login to the website using the same credentials as those used for the current WSX Web Reporting website
Select a User Role (these are also the same as available on the current WSX Web Reporting site)
Select Reports > Mobile Events from the left hand burger menu
When the report opens, it will automatically run and display the current days Mobile Events in the standard report format.

To view the locations associated with the event, click on the event and a map will present on the right hand side. The following functions are available within the map display,
Pin Display - Pins will display indicating the position of the following,
Red Pin - Gang Location of gang associated to the trucks active journey at the time of event capture
Pink Pin - The location at which the event report was recorded (sent from WSX Mobile)
Yellow Pin(s) - The location at which photos were taken that were sent with the event report
Clicking on any of the pins will present a pop up that displays the Pin Type (Crew Location, Event Location, Photo Location), the associated Docket Numbers, Geo-coordinates and for the photo pins, the Photo will also display.
Google Map functions - Including Map or Satellite view, Street View, Zoom in/out and tilt or rotate view.
Full screen - Clicking on the broken square icon in the top right-hand corner presents the map in full screen options
Photo View - Clicking on the photo icon allows the view to be switched to displaying photos (see photo view functions below)
To Close out of the Map View, click the X icon in the top right-hand corner of the map

To view the photos associated with the event, click on the event and on the map view that presents, click on the photo icon. The following functions are available within the photo display,
Scroll between photos - Scroll between photos using the left and right scroll arrows
Select a Photo to display - Click on the photo thumbnail to select a specific photo to view
Full Screen - Photos may also be viewed in full screen by clicking on the full screen (broken square) icon
Return to Map View - You can return to the Map View by selecting the map icon.
To Close out of the Map View, click the X icon in the top right-hand corner of the map
Additional options to update, search and filter data are also available within the report, as below,
Selecting a Date Range - To select a date range (other than the default) over which you wish to view Mobile Events, adjust the From and To dates. The report will automatically update when these are modified.
Updating the Current Data set - To update the data displayed for the currently selected date range, click on the Refresh button
Search - To search the data set for specific text, use the Search box
Filtering the data - To filter the data displayed in the current data set, click on the Filters button. Within the Filters screen,
Select the items you wish to filter on from the appropriate field - these items must be selected done at a time.
Once all selections are made, click on the Apply button and if no more filters are required, select the Close button.
When filters are applied, the number of filed against which filters are applied will display in brackets beside the Filters button and the button will display in blue.
To clear the applied filters, click on the Filters button and within the filter screen, click on the Clear button. Close the screen if no further filters need to be applied.
Sort - Within the standard report you can sort the event data by clicking on the column headers.
Reports may also be downloaded from the website in either CSV of PDF format. To download reports,
CSV - Click on the 'More' button and select 'Download CSV'. When selected, this activate the CSV download mode and will allow you to do the following,
Select specific events from the report to download by clicking and highlighting, or select all events by clicking on the 'Select All' button
Clear all selections by clicking on the 'Clear' button.
Once the required selections are made, download the CSV by clicking on 'Export'
To exit the CSV download, click on the 'Exit' button
PDF - Click on the 'More' button and select 'Download PDF'. 'Preparing PDF...' text will appear the to right of the More button and when the PDF is generated, it will present in the selected browsers PDF viewer. You may download the PDF from the browsers PDF viewer, or cancel out.

It is also possible to establish Scheduled Reports to be emailed to you. To schedule reports, click on the Schedule button from the main report window or within the Filters window and within the Schedule screen that presents, make the selections for the options outlined below and click 'Save Schedule'
Filters - Select any filters you wish applied to the report
Report Name - Assign the report a name. This name must be unique within the combination of your User and Database
Note: by default the name of the base report will auto-populate. This may be edited or removed.
Data Range - Assign the data range the report will cover. This can be established in either Days, Weeks (7 Days), Months or as the Previous Day, Week to Date or Month to Date.
Report Send Frequency - Assign how often you wish the report to be emailed to you. This can be set in either Days, Weeks or Months, which each option having the following additional selection options
Days - Specify how often in days you wish to receive the report, e.g. daily, every two days, every 7 days, etc.
Weeks - Specify how often in weeks you wish to receive the report, e.g. weekly, every two weeks, etc. Also specify within those weeks, which days of the week do you wish to receive the report, e.g. Mon, Wed, Fri, etc.
Months - Specify how often in months you wish to receive the report, e.g. monthly, every two months, etc. Also specify within those weeks, which date or days days of the week do you wish to receive the report by setting the following options
Selected Date - Select the day of the month you wish to receive the report, e.g. 1st, 11th, 20th, etc.
Selected Weekday - Select the week within the month in which you wish to receive the report, i.e. 1st, 2nd, 3rd or 4th, and within that week, which day of the week, i.e. Monday to Friday.
Offset from Generate Date - Specify if the data range selected is to commence from date the report is run, or if it is to be offset by days, weeks, or months. The time period by which the offset is applied is automatically set based off the time period specified for the data range, i.e. if Data Range is set by Days, the offset will also work in days. For example, if you wish to schedule a report to run each day and provide you the last 7 full days worth of data, not including the current day, you would set the Data Range to '7 Days' and the Offset to 1.
Generate Time - Specify the time, in 24 hour format, at which you wish the report to generate.
First Report & Last Report - Specify the date the first report will be generated and the date on which the last report will be generated. Note the first date cannot be prior to the current date and the last date must be after the first date.
Report Format - Specify if the report is to be provided in CSV or PDF format
Recipients - Specify the email address(s) of the recipient(s) for the report. Note that by default your email address is added to the Schedule, but this can be removed.
Once all selections have been made, click on the 'Save Schedule' button to save the scheduled report. If the scheduled report is successfully saved a pop-up message with the text 'Report schedule has created' will appear at the bottom of the screen momentarily and the report will be added to the scheduled reports. You can review the set-up though the Scheduled Reports page - see below for details in its use.
Notes:
If at any stage while creating the schedule you wish to reset the schedule screen back to defaults, select the 'Reset' button. This will clear all filters and reset the schedule selections back to the defaults that present when the screen is first opened.
If you attempt to close the schedule screen after changes have been applied, you will be presented with the pop-up message stating 'Do you wish to save the selections made', clicking 'OK' will save the schedule, clicking 'Cancel' will return you to the schedule screen with all current selections retained
If you wish to close the schedule screen without saving, use the 'Reset' button to clear any changes made and click the 'Close' button.
The Scheduled Reports page presents a list of all the scheduled reports to which you have access, and allows you to edit or delete these.
To access the Scheduled Reports page, select Reports > Mobile Events from the left hand burger menu.
For non-Admin users, the schedules presented will be those associated to the selected Database and User Role at the top of the page. Admin users will see all scheduled reports for the selected database.
The following functions are available within the Scheduled Reports page
Search - To search the data set for specific text, use the Search box
Filtering the data - To filter the data displayed in the current data set either by the user who created the schedule or by database, click on the Filters button and select the items you wish to filter on from the appropriate field - these items must be selected done at a time. Once all selections are made, click on the Apply button.
When filters are applied, the number of fields against which filters are applied will display in brackets beside the Filters button and the button will display in blue.
To clear the applied filters, click on the Filters button and within the filter screen, click on the Clear button.
Sort - Sort the list of schedules by clicking on the column headers.
Delete a Schedule - To delete a schedule, click on the X to the left of a schedule and in the pop-up message that presents with the text 'Do you want to delete this scheduled report?', click OK.
Edit a Schedule - To edit a schedule, click on the pen icon to the left of the schedule. This will initiate the scheduled report to run and present in the Mobile Events report page, with the Edit Schedule screen displayed. Any required changes to the schedule can be made in the Edit Schedule screen and the 'Save Schedule' button selected to save the update. Notes,
Once selecting 'Save Schedule' to an edit, this will save any changes made, close the Edit Schedule window and the Mobile Reports page and return you to the Scheduled Reports page.
To reverse any changes made to the schedule since selecting to edit, but remain in the edit schedule window, select the 'Reset' button.
To exit editing the schedule without saving any changes, click on the 'Cancel Edit' button. This will discard any changes made and close the Edit Schedule window and the Mobile Reports page and return you to the Scheduled Reports page.
