IEP Delete Requests
Official, submitted IEPs can only be deleted upon request to system support via this IEP Delete Requests feature.
See the visual guide below for details about this feature.
Service Provider Bulk Change
The Service Provider Bulk Change permits changes to service provider details for more than one provider at at time. Changes here affect all active services for the selected Local Education Agency (LEA).
At the Bulk Service Provider Change page, there are three dropdowns available:
LEA
Location
Service
Each of these dropdowns will show different options depending on which one was chosen above it.
Service Provider to be changed
Click the "+" button to edit the "From Staff Member" field.
This will produce the Staff Selection popup.
See the Visual Guide for Staff Selection.
After entering the staff member and returning to the Bulk Service Provider Change page, the chosen name will appear in the "From Staff Member" field
Click the gray Search button at the bottom.
The next area should populate after following the steps above.
Service Provider changed to
Click the new "+" button to edit the "To Staff Member" field.
This will produce the Staff Selection popup.
See the Visual Guide for Staff Selection.
Enter a Service Start Date in the field manually in mm/dd//yyyy format, or by using the calendar icon.
Click the gray Save button to commit the data.
The data will appear in the table at the bottom of the page, which shows the following columns:
Change
First Name
Last Name
Birth Date
Start Date
Changes are dependant on the provider having open Services. If the table shows "Provider has no open Services," then no changes can be made.
LDH File Share
The LDH File Share feature offers medicaid files that are produced by the La. Department of Health (LDH) and uploaded to eSER to assist LEAs in determining students whose services may be reimbursable by Medicaid. This file is not produced by the La. Department of Education. For questions related to Medicaid, contact the the LDH.
Clicking the link for this section will navigate to the LDH File Share page which shows table of LDH files available to download. This table shows:
File Name
Last Modified
File Size
Choose an LEA from the LEA dropdown, and a list of files will appear.
There may or may not be files shown depending on which LEA is chosen in the dropdown.
Click the blue filename link for the desired file, and the file will be downloaded to the browser's default downloads folder.
See the "Change Downloads default location" video in Tech Tips to change the folder.
This feature allows for an IEP to be deleted via a request through the eSER system. The request is then reviewed by a member of the support team.
If there are no issues preventing the IEP from being deleted, the IEP will be manually deleted by the support team, and the IEP Delete Requests table will show a confirmation of "deleted." This process may take some time depending on the request.
If there is an issue preventing the IEP from being deleted, the IEP Delete Requests table will show "denied" or "pending." If the request is denied, there should be an explanation of refusal noted by the support team in the IEP Delete Request Form, in the narrative field.
Initially, if no delete requests have been made then the IEP Delete Requests table will show no records:
To make a delete request, go to the IEP List table and click the trash can icon next to the desired IEP:
This will produce the Create IEP Delete Request popup. Enter a contact email where you can be reached. In the text box, enter a reason for the request. This narrative should justify the request and provide any details needed to assist staff in researching the IEP.
The text box can be expanded by clicking and dragging the small lines at the bottom right:
Click the Save Delete Request button to commit. The popup will close and the system will return to the IEP List table. There will be no discernible change to the IEP List table.
To check the status, go back to User Tools > IEP Delete Requests, where the current status of the request is shown along with other data.
The request can be retracted, or the narrative modified, by clicking the View/Edit pencil icon.
This will navigate to the IEP Delete Request Form.
Make narrative changes, then click the Save button.
Alternately, click the Cancel Delete Request button to delete the request entirely. This will immediately delete the request, so make sure that is what is desired before clicking the button.
To view the referenced IEP, click the IEP Form to Delete pencil icon. This will navigate to the General Student Information page of the IEP.
Clicking the Cancel icon -- the circle with the X -- will have almost the same effect as clicking the Cancel Delete Request button mentioned above.
The difference here is that a confirmation popup will appear after clicking the button.
Click OK to confirm the deletion, or Cancel to prevent changes.
Clicking this link will navigate to the Bulk Service Provider Change page.
Choose the desired LEA, Location and Service from the dropdown.
Click the "+" button to choose a staff member via the Staff Selection popup. Either a Staff ID number may be entered, or the Last AND First name.
Click the Search button, and a list of staff members matching the data will appear.
Click the appropriate checkbox for the staff member, then click the blue Select button.
Back on the Bulk Service Provider Change page, the chosen staff member now appears in the From Staff Member field.
Click the gray Search button to refresh and populate the rest of the page.
Click the "+" button to the right of "Service Provider changed to."
Repeat the steps above for the Staff Selection popup.
Enter a Service Start Date manually or by using the calendar icon.
Repeat this process to add more staff members.
The changes will be added to the table at the bottom of the section.
The screenshot below is an example of what might be seen if an LEA has LDH files available to download.
Clicking a blue filename link will send the file to the default download folder set in the browser.
See the "Change Downloads default location" video in Tech Tips to change the folder.
