This page explains areas in eSER that contain processes, links or buttons that repeat or remain static between pages or sections.
Some fields have a small calendar or clock icon to the right.
The date can be manually entered in dd/mm/yyyy format, or chosen by clicking the calendar symbol at the right of the date field.
Similarly, the time can be entered in hh/mm format, or by clicking the clock icon and scrolling to the desired time.
After this, it may be necessary to click anywhere outside of the popup to return to the View/Edit screen.
The selected information will appear in the field.
The Created and Modified data is updated and auto-populated based on each user who edits or saves data in an IEP.
The only way to see a history of this data beyond the most recent change is to request it from system support.
This data refers to the first day that page or item was created and saved, and the last day the page or item was modified and saved. It does not specify the last time the item was viewed.
Any time the date or time stamps change, they are also updated with that user's ID.

The Staff Selection popup allows for a search of staff members.
A staff member must be part of the EdLink 360 file for the current year before they can be available in eSER. If this is in place but the staff member still cannnot be found, email support.
Either a Staff ID number may be entered, or the Last AND First name.
Click the Search button, and a list of staff members matching the data will appear in the popup.
Click the appropriate checkbox for the staff member, then click the Select button.
The IEP Section dropdown, Check Out, Submit, Validate, Edit Section(s), and IEP List links exist throughout the IEP subsections.
IEP Section
This dropdown provides a list of sections within the IEP. Clicking one of these sections will navigate to a subsection with all of the related fields.
Check Out
The Check Out button is to be used any time there are changes or edits to be made to a subsection. So first click the IEP Section dropdown, then the subsection you need, and then Check Out. Fields that may have been gray previously will turn to white and can be edited.
The Check Out button will change to a Check In button.
it is like checking out a book at the library. When you want to look at it in detail, you have to check it out. Then when you are done, you have to check it back in, and the book is locked back into the library. Two people cannot have the same book checked out at once. In eSER, this process prevents two users from being able to edit the same section of an IEP at the same time, which could produce data conflicts.
More specifically: multiple users can work in an IEP at the same time without conflict as long as they are Checked Out in different sections. They cannot be Checked Out in the same section at the same time.
Thus when finished editing the IEP subsection, click Check In to return it to a locked status.
Submit
This button should be used only when the IEP is completed and after it has passed validation. This will submit the data at any stage as an official IEP.
Validate
This link can be used throughout the completion of an IEP to see what validation errors may need to fixed. An IEP cannot be submitted until it has passed all validations. Errors are meant to be self-explanatory, and may come with links to the sections that need to be corrected. Once the corrections are made, clicking the Validate link should produce a green "This IEP passes all Validations" confirmation.
Edit Section(s)
This link should be used when there is a section that needs to be added or deleted.
Click the "+" button to add a section. In the resulting popup, click the required section. These options will vary depending on what was already chosen or exists in the IEP.
For instance, clicking LEAP Connect, and then the Add button, will add that section to the IEP:
Click Return to IEP, and the resulting section can now be selected in the dropdown:

IEP List
This link will navigate to the table with all available IEPs. This is the same table accessed by clicking IEP in the main header menu at the top of the page, and then IEP List.
To the left of the screen in eSER there are widgets that show data according to what IEP has been chosen.
They are visible the entire time a user is in eSER. They can be dragged to the right side of the screen if desired.
Selected School or LEA
Choose the appropriate name of your school orr LEA from the dropdown. In some cases the school names may be similar to other available names such as districts. If the wrong name is chosen it will affect what students and IEPs can be seen.
Each user in eSER has certain permission that are tied directly to the option chosen in this dropdown. If you have chosen the correct names but are having trouble accessing data in eSER, contact your LEA or system support to see if your permissions are correct.
Recent Students
This widget shows the last five most recently--searched IEPs, with the most recent one at the top. Users with PII permission will see the date the IEP was searched for, the student's full name, and the student's State ID.
The small toggle switch to the right of the Recent Students title can be used to hide the widget; for instance if a coworker or parent is looking at your screen with you, and you do not want to show PII of the other students.
Selected Student
This widget shows the name, state ID, date of birth, location and gender of the currently selected student.
