Navigate to Home tab on the EP. Access the form for the offer by clicking on button 'New Offer' among the shortcuts or by clicking on 'New Offer' on the navigation bar.
After clicking on one of the buttons, a new form will appear and you can start filling in the offer details:
On top of each form, you will find the fields for basic information about the offer and please remember the following rules for some of the fields:
Reference Number - The reference number must adhere to the format of:
(Country Code)-(Current Exchange Year)-(1 to 8 alphanumeric characters or dashes)
The country code and the year are already set and you just need to fill in the unique part of the reference number.
Exchange type:
Exchange Internship - all offers meant to be exchanged during the Exchange Sessions should have this type
Global Internship - international internship opportunities (Unused offers or employers that want more than 1 applicant)
Reserved Internship - It’s the service IAESTE is offering to students and employers
Offer type, which is by default an On-site offer. You can change it to Remote.
Employer - Please choose from a list of your Employer list or create a new one:
Note: Employers from 2017 have been automatically imported to the Exchange Platform.
After you choose your employer, please click on Save Draft so the employer's details will show in the form:
Official Responsible - If you want the part Official Responsible to be filled automatically, please add a primary contact in the profile of the employer.
Apart from these fields under Employer details, the fields Location of placement, Number of employees in the tab Work Offered and the field Canteen at work are generated automatically from the employer's profile.
The next tab is for student information (relating to the student required for the work offered). The General discipline is set to a certain list specified by the IAESTE Board, and is mandatory. These two-digit series (described as CIP family in CSV File Guidelines) represent the most general groupings of related programs.
The Field of study, mandatory as well, (the six-digit series -described as CIP code in CSV File Guidelines) represents specific instructional programs and is commonly recognized by postsecondary educational institutions

If you cannot find the General discipline you desire, you can select Other choice and specify it in the field of study. There is also an "Any" option if the General disciplines unimportant. Each General discipline has a number of suggested fields of study specialisations that are accessible after choosing the General discipline. You don't need to choose any field of study from the suggested once or you use the free text after choosing 'Other' as a General discipline faculty.
You can't use more than 3 General disciplines and for practical reasons, it's not recommended to use more than 3 fields of study.
You can choose up to 3 languages and you must choose at least 1 language as a requirement.
Each language selected can also carry one of three fluency requirements: Excellent, Good, Fair
If you select multiple language requirements, you must also specify the linking between them. For example, if you want the student to have either English or German, you select English first and specify the fluency, then choose the "Or" selection, then add German in the second drop down menu.
In this part, you can specify how many completed years of study the student should complete before the start of the internship and also if there is any required knowledge/experience or if there are any other special requirements (e.g. only Master students).
This tab should descibe the work being offered and should provide enough information to the student.
Location of placement and Number of employees are automatically loaded from the employer's profile.
The minumum number of weeks cannot be lower than 4.
The number of weeks has to fit in the given period.
Any dates can't be set in the past nor the end date can be earlier than the start date.
If you wish to specify an alternative internship period, or if you wish to specify when the company will take a holiday during either of those internship periods, you can use provided options.
The gross pay field, as all subsequent fields, will have the currency selected in your committee's profile.
The frequency of payment is set as 'Month' by default, but you can also choose the option per 'Week'.
In the field 'Payment deduction expected', please fill just the number. The precenatge sign will be added once the offer is saved.
The next tab contains information about the accommodation provided to the student undertaking the internship offer.
The field 'Canteen at work' is generated from the Employer's profile (add link), but you can change it for a particular offer.
In the field 'Lodging will be arranged by', you should choose who will be in charge of providing an accommodation to the student.
The cost of lodging and cost of living will be in the committee's default currency set their profile. It is a must that the cost of living is greater than or equal to the cost of lodging.
It is advised that the cost of living be greater than or equal to the Gross pay field entered previously.
In case any expenses e.g. for accommodation or meals will be covered by the employer, mention it in the Work Description.
The final tab contains information related to the nomination of a student for this offer.
Deadline for nomination is automatically set as 31st March for AC offers.
In case you need to receive any hard copies of the nomination, please mention it here and don't forget to update your postal address in your committee's profile.
In case there are any addtional information that are important for a nomination of a student, please mention it here. For example:
addtional required documents: 'Students with any NON-EU/EFTA nationality need to provide an official letter from their university, confirming that the traineeship is compulsory.'
information about visa: 'If student needs visa, (s)he needs to be enrolled for the entire stay.'
information about any extra selection process: 'Informational talk by IAESTE and/or employer'
information regarding the condtions for nomination especially if you require an offer in exchange: 'This is an early offer for which we require an offer in return at AC 2017 in case of acceptance of the student.'
After you fill in the fields, you can choose to save the offer as a draft or you can submit the offer by clicking on 'Add Offer'.
If you save the offer as draft, the status of the offer will be stay in 'Draft' and the mandatory fields can be left empty.
If you add the offer, the status of the offer will be set to 'Ready for Sharing' and you can continue by sharing/publishing the offer.
Later, you can find your offer in the respective lists of offers.
You can also delete the offer in case you don't plan to share/publish this offer anymore.
