New functionalities in the EP - Sept'21

Here are some of the major changes that went live for the new exchange year 2022!

We always heard that after acceptances, at times, there is a need for the student to upload some additional documents but this wasn’t possible directly as the nomination had to be sent back to the sending committee but now there’s a “Additional Document” section on the EP that is visible throughout the lifecycle of the nomination process so students can upload additional documents anytime and guess what, the moment they add a new document - both the sending and receiving committee will receive automatic emails.

Now, you have the possibility to mark a nomination for interview along with some comments/details around the interview so the student is informed automatically via the EP (& automatic email) to expect an interview soon - this would help committees to avoid additional emails and moreover with this they can track everything on the EP itself. The date the nomination was marked for a pending interview will also be visible in the Outgoing/Incoming nomination list views.
Simply open the incoming nominations -> Navigate to the "Interview" tab -> Enter comments -> Save Draft -> Click on "Notify student for pending interview" button.

Now by default for all nominations, students will receive an automatic email reminding them to submit their nomination 4 days before the student nomination deadline along with a link to the EP Student guide in case they've questions or are stuck with some step in the process!
Also, if you want to send an on-demand reminder, we have a dedicated button on the nomination as well

Now you can use the EP in order to enable students to upload documents that are only shared/visible to their own committee members. This can be membership payment receipts, or other documents that the committee members require for internal processing of the student profile and/or their outgoing nomination. We gave the EP a fresh look with more insights into your exchange and student status statistics so you would see some new indicators on the home page. Along with this, these indicators provide a new drill down functionality so you can also view the data that is behind these indicators for better understanding!

You heard it right! Now you as the EA/NS have the possibility to extend the nomination deadline without contacting the ITS, simply head to the Incoming -> Published offer section and click on the button to extend the deadline.

We added a new indicator on the EP called "Nomination in progress for submission" which tells the count of nominations that are in progress for your published offers to provide better visibility as to what's going on. You can find this in the Incoming -> Published offers section

We often heard that it gets difficult to track whether a traineeship is completed or not so we added a section that lists traineeships that are completed for the current exchange year, it also gives visibility if the trainee/employer reports aren't submitted based on the status column so you no longer have to search for this info in Archives.
