Internal Document Sharing

Now Committees can make use of the EP inorder to enable students to upload documents which are only shared/visible to their own committee members. This can be membership payment receipts, or other documents that the committee members require for internal processing the student profile and/or their outgoing nominations.

How to enter the instructions?

  • Go to National Committee under Administration.

  • Go to the tab Instructions.

  • Under the tab you can find the input boxes for instructions:

1. Instructions for uploading internal documents

On the committee profile, under the “Instructions” section there would be a space to specify custom instructions for uploading these internal documents - similar to other instructions that we currently support.


Here the following options will be available:

  • A text box where instructions for the students can be entered for your committee - the text style (colour, font etc) can be customized as well.

  • An upload button below it - this is for uploading templates of any internal documents if need (optional)


2. Student Profile (for Students)

A new section called “Internal Document” is available to students where they can upload documents that are required based on their committee requirement. The instructions entered on the committee profile are shown here along with the uploaded templates (if any)


Here the following option will be available:

  • An upload button allows the student to upload up to 10 different files in the “Supporting internal documents”.


3. Outgoing Nomination

These instructions will be Now, whenever a student from your country is assigned to an offer and a nomination is created, these internal documents uploaded at the student profile level are shown on the nomination as well along with another option to upload nomination level internal documents. The instructions entered on the committee profile is again shown here along with the uploaded templates (if any)


Here the following option will be available:

  • An upload button allows the student to upload up to 10 different files in the “Supporting internal documents”; these will be nomination specific internal documents.

Summary

Generic documents: the student uploads them on his profile


Nomination specific documents: the student uploads them while filing his nomination (the generic documents from the profile are also shown on the nomination)


After the nomination is submitted - the student committee can access both the generic (student profile) + nomination specific internal documents on the nomination easily. The documents the students upload on their profile are always visible to the committee on the student profile itself.


At no point, these documents are shared with the other committees or employers.
