To make running your chapter as easy as possible, we use a tool called Bevy. You’ll use it to create and manage your own events, contact your chapter members, and keep an eye on how your chapter is growing.

Here are some of the most common questions we hear from chapter leads:
Accessing the Bevy Dashboard
Q: How do I access the dashboard?
First, you'll need to create an account at chapters.culturefirst.com. If the option for 'dashboard' doesn't show up once you're logged in, then you haven't been assigned as an admin for your chapters page. Will need to be added by the community manager to access this.
📩 Emails & Communication
Q: Can I edit the automated emails Bevy sends?
Unfortunately, no. You can cancel or reschedule them—but not edit the copy. You can create your own custom emails for reminders or thank-yous! This also applies to the post-event survey email. You can't create a new email and attached that survey.
Q: What happens if someone replies to a Bevy email?
They’ll get a “no-reply” response and be redirected to your chapter page to contact you.
Q: Can I attach a PDF or image to a Bevy email?
There’s no upload button, but you can link to a document (like a Google Drive or Dropbox file), and you can drag images from your desktop directly into the email body.
🧑🤝🧑 Members & RSVPs
Q: How can I see who RSVP’d to my event?
You can! Go to your event dashboard, click on the specific event and then click 'Registrations.' If it’s a cohosted event you didn’t create, you won’t have access to that entire registration list and just who has RSVP'd with your chapter's event URL.
Q: Does someone who RSVPs for my event automatically become a chapter member?
Nope! They have to opt in to be a member. There is a checkbox option upon registration to join the chapter and be notified of future event updates via email. There is a button on your chapter's homepage as well for them to 'join' the chapter. This is due to email compliance reasons.
Q: Will attendees be automatically checked in?
Yes—if they use the unique link from their calendar invite or confirmation email. You can manually add someone after an event if needed. Plus there is a Bevy organizer app you can use to check people in for your in-per
🎉 Event Creation
Q: What kinds of events can I create in Bevy?
Your event can be in-person, virtual or hybrid. It can be public or hidden. It can be hosted by you and cohosted by other chapters.
🧑🤝🧑 Cohosting Events
Q: Can I cohost with another chapter?
Yes! When cohosting, only the chapter that creates the event will be able to see the RSVPs and analytics. All chapter names will still be listed publicly. The event has to be 'published' in order to manually add another chapter as a cohost. Additionally, up to three chapters can host one workshop.
Q: Will automated emails go to everyone in a cohosted event?
Yes. Bevy will send reminders to anyone who RSVPs, regardless of who created the event.
🎥 Virtual Events
Q: Do people have to use Bevy Virtual?
Nope. You can link to a Zoom or Google Meet, but Bevy Virtual makes check-in easier and keeps everything in one place.
📊 Analytics & Engagement
Q: What’s the most important stat I should be thinking about?
We track the % of community members who return to a second or third event. Repeat engagement is the best sign your chapter is thriving. This is why checking people in, including yourself, is so important! It's not about the number of people who register. We're about the quality, not the quantity.
Q: How do I send a post-event survey?
You can either link to your own Google Form or use Bevy’s automated survey feature in the post-event email. Remember, you can't edit that email. You can only reschedule or cancel.

Additional notes about emails in Bevy:
You can't send emails directly to one-off members.
If a member responds back to one of your emails (i.e. change in RSVP), they will receive a 'no-reply' email response. They will be directed to the contact button on your chapter's homepage which will then send you an email directly.
There isn't an attach button for Bevy emails. That said, here are two other workarounds:
You can upload your document to something like Google Drive or Dropbox and then share it as a link (this includes videos too)
You can drag images from your desktop over to the Bevy email

The success of our community is measured by the % of community members that return to a second or third chapter event.
Make sure you register and check-in yourself!
For virtual events, attendees will get automatically checked in if they use their unique URL from their calendar invite with registration

How to edit the automated post event survey
You can't create a new email with this survey. It only goes with the automated post event email
If you go to click on the post event survey link in the preview, the link will show as 'page not found' which is to be expected. Members get their own unique links for the forms.
You can create your own google form and attach that in a new email as well if that's easier

Only the first chapter that has hosted the event or the primary host will see all registrants. Secondary hosts will only be able to see folks that have registered using their links.

Fill in you relevant account details
Once you've completed this, let Jessie know in Slack that you've created an account and include the email you signed up with.
From there, we will provide you group leader access to your own unique group in Bevy. This will be the hub for your events, member list, analytics, & more. You'll be able to post photos, upload slideshows, videos, and feature guests/speakers at your events.
The Culture First team are here to support you navigating the system. We have a channel in Culture First Slack #admin-support where you can ask the team questions.
Bevy also have an amazing support page where you can access knowledge articles and ask their experts for help.
The best way to get help is by submitting a support ticket.

it's very important to check you attendees in for your events. This engagement metric is a very important metric to determine the success of our community. The number of people showing up over and over again isn't as important as the community members that are continuing to show up over and over again at our gatherings.
