Objective:
Capital College of the Arts, Management and Technology is committed to providing a clear and comprehensive policy regarding student transfer, deferment, and withdrawal. The policy aims to ensure that all requests are processed in a fair and timely manner, not exceeding a period of 4 weeks from the date of request to the notification of the outcome.
General Guidelines:
1. All requests for transfer, deferment, or withdrawal must be made in writing using the Student Request Form, accompanied by any necessary supporting documents. Verbal requests will not be accepted.
2. For students under the age of 18, written consent from a parent or legal guardian is required.
3. All requests will be reviewed on a case-by-case basis, and the College reserves the right to make the final decision.
4. The College's refund policy will apply to all eligible refunds. For more details, students are advised to refer to the College's refund policy and the Standard Student Contract.
Procedure Notes:
1. All transfer, withdrawal, and deferment policy statements are detailed in the 'Approach' section. All conditions must be met before the College proceeds with the application.
2. The entire process should not take more than 4 weeks from the date of the student's request to inform the student of the outcome in writing.
3. The date of request will refer to the date that the College receives the duly executed student request form with all supporting documents.
4. The transfer, withdrawal, and deferment policy and procedures can be found on the following platforms: Student Handbook, Student Orientation materials and College Website.
5. Students who wish to transfer, withdraw or defer, must submit the Student Request Form to the Office of Student Affairs for processing. Supporting documentation is required to process the request an must be submitted along with the student request form.
6. For students below the age of 18, the parent/legal guardian’s written consent must be obtained. Written consent may be obtained through signing on the student request form or a separate email or letter correspondence would suffice.
7. Upon receipt of the Student Request Form (including supporting documents), the Office of Student Affairs is to meet with the student to find out further the student’s intention of the request. This is to be done within 2 working days upon receipt of the student request form (based on the date of application).
