START the Alert
Receive email from San Antonio TransGuide (SAT-AMLT.)
Fill out and save Crib Sheet in designated Completed Crib Sheet folder for alert type.
San Antonio will call to confirm that we received message. Note who called. Confirm message was received and will be posted. You will need the name of who called for the Crib Sheet.
Find the location of CTECC on Lonestar Map Interface (51st and Old Manor Rd.)
Right click on the area and select Execute Response Plan.
In the Response Plan Template, expand the CTECC list on left side of window, and then select alert type.
A plan will pop up with pre-selected DMS signs. Do not modify which DMS signs will display. Select “modify message” in bottom right corner. Modify the message to match email from SAT-AMLT. Turn OFF DMS beacons. DOUBLE CHECK FOR ERRORS!
Make sure there is NOT a check in the “Beacons” and “Display Infinite” boxes.
Set priority to the lowest of alert type.
Click Modify. Double check the message is correct again.
Open All DMS view thru Map Interface. Make note of the time, and then press execute. Watch the All DMS View and wait until DMS have finished posting alert. Make note of the time they finish.
Once the messages have all finished posting, count each individual DMS that posted the message.
When you press execute, Lonestar will automatically create an event for the alert. Open the event and fill out the following:
Description – “Alert Type – Location” ……. Example “Silver Alert – Waco.”
Change Source to Other and type in “Transguide”
Change Verified By to "Transguide"
You do not need to change the location or affected lanes, as there is no specific area. Just leave as they are.
Fill out crib sheet. Crib sheet will have useful information on it that will be needed when the alert is cancelled.
Date and time is when you received email.
Reporting District will be Austin.
Name of caller is the name of whoever called from San Antonio to confirm we received email.
‘Time Started Posting’ and ‘Completed Posting’ will be the time you pressed execute and then the time the DMS completed posting.
‘Posted on’ will be the number of screens it finished displaying on, and ‘possible signs’ will be the total amount of signs available (as of 7/6/2019 we have 68 DMS signs.)
Save Crib Sheet Report in:
ITS Operations>Amber Alert>Silver Alerts> Completed Work Sheets>*type of alert and year* folder.
Save as “type of alert/location/date”………example:
“Silver Alert Fort Worth TX 07022019.”
Send reply email to the SAT-ALMT email stating “Austin District is now displaying *type* alert.”
CANCELLING the Alert:
San Antonio will email again when the message is to be cancelled/discontinued. They will also call to confirm you received the cancellation email.
Open the Alert event in the Event Summary window. Select Response Plan tab. Note the time. Click on the Terminate button in top menu bar. Note the time the DMS finished removing message.
Open the Event Summary tab. Add a note that you received cancellation email from SAT-ALMT at *time and date.*
Open Event Info tab and close out the event.
Open the After Action Report form and fill it out.
Date of alert is the date we started posting.
Reporting District is Austin.
Name of person preparing report is you.
In section I. use the information from the crib sheet to fill it out.
In section II. the date and time will be when you received the cancellation email. Then the time the message was terminated and the time it finished terminating.
In section III. identify any issues you encountered, if any.
Check to make sure all information is correct.
Click on Submit by Email. The report will automatically generate the recipient.
Send reply email to the SAT-AMLT cancellation email stating “Austin District has removed *type* alert.”
