Materials Price Manager

The Materials Price Manager is where all the prices of the Material Items are listed. The Materials Price Manager allows you to update the Material Prices and change VAT Types.

Make sure to first set-up Materials & Inventory.

Materials Price Manager Data Grid

The Material Price Manager allows you to update Units & Prices and Supplier Prices. You can toggle between the two by selecting the desired option from the Update drop-down field and clicking View. See image below:

Main Menu > Materials > Materials Price Manager > Update - Units & Prices > View

  1. Category - This drop-down list allows the user to select which Material Category should be referenced.
  2. Update - Units & Prices - This provides a view of Materials listed by Unit and by Price.
  3. Materials grid - The Materials grid shows all the Material Items listed in Materials & Inventory. The Materials grid consists of the following columns:
    • Category - This indicates the Material Item's Material Category. You are able to add a Sub-Category column from the Field Chooser.
    • Description - The Material Item's description will be shown here for easy identification.
    • Code - This shows the Material Item's unique Code.
    • Replenished - This indicates the Material Item's Replenishment method.
    • Base Unit - This indicates the Material Item's Base Unit.
  4. Units & Prices grid - The Units & Prices grid shows the Units & Prices of the Material Items listed in Materials & Inventory. The Units & Prices grid consists of the following columns:
    • VAT Type - This shows the VAT Type applied to the Material Item.
    • Price - This indicates if the VAT is included or excluded from the Price.
    • Cost (Exc) - This shows the Cost Price excluding VAT.
    • Sell (Exc) - This show the Selling Price excluding VAT.
    • Sell (Inc) - This show the Selling Price including VAT.
    • /Qty - This shows what the Material Cost and Sell Prices are per Quantity.
    • Unit - This shows the default Unit for this Material Item.
    • MU% - This shows the Mark Up percentage specified for the Material Item.
    • GP% - This shows the Gross Profit percentage specified for the Material Item.
    • Updated - This shows the last date the Material Item were updated.

You can open the Material Item by right-clicking on the desired Material Item and selecting Open the Selected Item.

5. Menu - The Menu button provides the following additional functionality for the Update Units & Prices view:

    • Set Cost Price equal to the lowest Supplier Price - This will set the Cost Price equal to the lowest Supplier Price.
    • Set Cost Price equal to the highest Supplier Price - This will set the Cost Price equal to the highest Supplier Price.

Update Supplier Prices

Main Menu > Materials > Materials Price Manager > Update - Supplier Prices > View

  1. Update - Supplier Prices - This provides a view of Materials and prices listed by Supplier. This option will activate the Price expired check-box (2) and the Supplier filter (3).
  2. Price expired - This allows you to view Materials with expired prices.
  3. Supplier - This allows you to view Materials based on one, or all, Supplier(s).
  4. Supplier Prices grid - The Supplier Prices grid show the Suppliers Prices for the Material Items. The Supplier Prices grid consists of the following columns:
    • Supplier - This shows the Material Item's Supplier.
    • VAT Type - This shows the VAT Type applied to the Material Item.
    • Price - This indicates if the VAT is included or excluded from the Price.
    • Price (Exc) - This shows the Supplier Price excluding VAT.
    • Price (Inc) - This shows the Supplier Price including VAT.
    • /Qty - This shows what the Material Cost and Sell Prices are per Quantity.
    • Unit - This shows the default Unit for this Material Item.
    • Adj % - This shows the Adjustment percentage applied to the Supplier's Price.
    • Total - This shows the Total Price for the Supplier's Material Item. This value is VAT excluded or Included depending on the parameter set in the Price field.
    • Updated - This shows the last date the Material Item were updated.

You can confirm the Supplier Price by right-clicking on the desired Material Item and selecting Confirm the selected Supplier Price. This will update the Updated field of the selected Material Item.

5. Menu - The Menu button provides the following additional functionality for the Supplier Prices view:

    • Set Supplier Prices - Confirm all the Supplier Prices - This will confirm all the Supplier Prices. This will update the Update field for all the Material Items.
    • Set Supplier Prices - Set Adjustments and Prices - To use this function you must first select a Material Category and click View. Once you have clicked on Set Adjustments and Prices, a Set Materials Adjustments window will appear. See image below:
  1. Sub-category - Here you can select the Sub-category you wish to update. If this field is left blank, the update will be made to all Sub-categories.
  2. Name - Select the desired Material to update from the drop-down list. If this field is left blank, the update will be made to all Materials.
  3. Supplier - Select the Supplier from the drop-down list. If this field is left blank, the update will be made to all Suppliers.
  4. Select - Select the Update Type. You have the following parameters to select from:
    • Update adjustments
    • Adjust list prices
    • Set the List Price (VAT exc)
    • Set the List Price (VAT inc)
  5. % - Enter a percentage value for the parameter selected in the Select field you wish to apply. For the Set the List Price (VAT exc and inc) the Percentage will change to Amount.
  6. Update - Click this button to update the Prices.

Note

You can create promotional prices, specials and adjustments to Materials and Services which are linked to specified Customers or Customer Category in Main Menu > Setup > Price Lists.
