BOSPrint automates so much of the estimating process that it allows you to create faster, more accurate quotations, and implement a more efficient use of your staff resources.
Quotations and Estimates Data Grid (See below)
Quotations and Estimates is where all the Setups come together. It's extremely important to make sure all the Setups are accurate to ensure accurate and fast Estimating.
Before attempting to use the Quotations module, ensure that you have attended to these settings:
Main Menu > Customers > Quotations > View
Navigation Bar > Quotations > View
Data Filter - This allows you to fully customise your search.
You can view Quotations and Estimates separately by selecting EST or QTE in the Type filter (see image below). After you selected the desired Type, click View.
When the filter is set to EST, you can only create new Estimates and when the Type is set to QTE you can only create new Quotations and you will effectively only be working with Quotations that contain Estimates as Items.
2. Data Grid - This field will populate with rows. Each row will represent a Quotation with internal Estimates or stand alone Estimates, depending on the Type Filter (EST, QTE or All) you selected.
3. Search - This allows you to search for a specific Quote, Work Order or Sales Order by entering the transaction number or description.
Set the default Filter Type at Main Menu > Setup > Staff > Edit > Settings > Quotations > Default Type Filter.
This also allows you to restrict a user to only view Quotations or Estimates.
QuickEasy BOSPrint's Quotations are itemised. Along with Items and Services, you can add Estimates as items to the Quotation - E.g. The Quotation can consist of Materials sold as Finished Goods, Services not linked to a printing job and Printing Estimates complete with its internal Materials and Services.
Quotations is the start of the BOSPrint Workflow. The Quotation will be copied down the business cycles to speed up admin and improve accuracy.
Main Menu > Customers > Quotations > New - Quotation
Status - The Status button allows you to change the Quotation Status.
Output - The Output button allows you to Print or E-mail the Quotation.
Copy - The Copy button allows you to copy the Quotation to a new Quote, Version or to the next business cycle.
Copying to the next business cycle will change the Status of the Quotation.
When the Quotation is copied, the Estimates linked to Items are also copied and when the Quotation or Items on the Quotation are deleted, the linked Estimates are also deleted. However, when the Estimate is deleted by opening it from outside the Quotation, the Quote Item is not deleted.
Menu - The Menu button provides additional functionality such as:
Update Quote from Setups - When Setup information has changed, this will update the Quote applying the changes.
Reset Estimate Adjustment - This allows you to reset the Estimate Adjustments back to the Default settings set in Branches.
You can also Edit and Add Customers from the Quotation Menu button.
Quote No. - This field will automatically populate. This number can be used to track and find the Quote.
Customer - This shows the Customer the Quotation is made for.
Contact - This shows the Contact person of the Customer.
Reference - Here you can enter the Reference for the Quotation.
Specification - Here you can enter the Specifications for the Quotation.
Other - Here you can enter any other Specifications for the Quotation.
Category - Here you can select the Job Category for the Quotation.
Rep - Here you can select the Representative for the Quotation.
Add Adj% - This allows you to add Adjustments to the Unit Prices.
Add Custom - This allows you to add a Custom Item (Items not listed in Materials & Inventory) to the Quotation.
Add Material - This allows you to add a Material Item to the Quotation.
Add Service - This allows you to add a Service to the Quotation.
Add Estimate - This allows you to add an Estimate to the Quotation.
Printing Estimate - To add a Printing service to the Quotation.
Outsourced Estimate - When the Printing service is Outsourced.
Generic Estimate - When only Finishing services are required and no Printing Service.
Template Estimate - To add a Template Estimate to the Quotation.
Link Estimate - To link an Estimate to the Quotation. You can only link Estimates that is created for the selected Customer.
Data Grid - Here all the Items, Services and Estimates will be listed as Items in the Quotation.
A Type field is used to identify the Items in the Quotation:
CTM - Custom
MAT - Material
SER - Service
EPR - Estimate - Printing
EOS - Estimate - Outsourced Printing
EGR - Estimate - General
Currency - This allows you to select the Currency for the Customer if the Customer does business with more than one Currency.
Follow these simple steps on how to create a new Quotation:
Navigate to Main Menu > Customers > Quotations.
Click on the New button and select Quotation.
This will open the Quotations window where you can add Materials, Services and Estimates to the Quote.

Estimates are used to calculate the cost and pricing of Printing Services. Estimates will calculate the total costs and added values of a printing service taking all the components in consideration i.e. materials, pre-press operations, finishing operations, presses with their running costs as well as despatch costs.
Printing Estimate - This is used to estimate printing that is produced internally, and will guide you through the steps needed to complete an actual printing job.
Printing Outsourced Estimate - This is used to estimate outsourced printing and includes supplier and proofing steps that you will find in the usual printing estimating process.
Generic Estimate - This is used for jobs that don’t require the complexity of print estimating. Estimators simply add services, materials and despatch costs.
There are two methods on creating a new Estimate.
This method allows you to create an Estimate separate from a Quote. However you can link the Estimate to the Quote by selecting Link Estimate when creating the Quote; or you can link the Estimate to an existing Quotation.
Navigate to Main Menu > Customers > Quotations.
Select EST in the Type Data Filter.
Click on the New button and select the desired Estimate Type. See screenshot below:
This method allows you to create the Estimate inside the Quotation as an itemised entry, therefore the Quotation must be created first.
Navigate to Main Menu > Customers > Quotations.
Click on the New button and select Quotation.
The Quotations window will open. Select a Customer.
Click on the Estimate button and select the desired Estimate Type. See screenshot below:
When creating a Printing Estimate simply follow all the steps/tabs in the Estimate Interface to accurately calculate the Printing Services cost and pricing.
Running combined SO/WO doesn’t allow you to add Estimates to a Quotation; it will have to be done separately.
If you copy over a SO from QT then you cannot add additional Estimates, only Items.
If you create a SO from scratch, then you can add Estimates as well.
If you copy over a WO from a SO, then a WO will be created for the Estimate if there is an Estimate listed on the QT/SO.

Multiple quantities can be added to an Estimate and displayed on the Quote Letter, but only the selected quantity will be totaled to the linked Quotation.
When adding Quotes to a Sales Order, you are able to multi-select Quotations and add them all with one click.
