Dear Families of St. Michael School,

We are deeply saddened by the recent school shooting event in Minnesota, and our hearts go out to all those impacted by this tragedy. As a Catholic school community, we are keeping the Annunciation community in our prayers, asking God to bring them comfort, healing, and peace during this difficult time.

In light of this event, and out of an abundance of caution, we have made some immediate adjustments to our campus safety procedures - specifically regarding access to the church.

Effective immediately:

The side doors of the church will no longer remain unlocked prior to school Masses. These doors had previously been kept unlocked for ease of entry for classes. Teachers will still be able to lead their students in through these doors, but they will now use a secure fob system to do so.
The main church doors will lock five minutes after the start of each school Mass. This measure ensures a controlled and monitored entry point once Mass has begun.

Please know that the safety and well-being of our students is our top priority. We are committed to maintaining a secure and nurturing environment while also preserving the spiritual life of our school. In addition, school safety has also been added to the agenda of our next School Advisory Board meeting to ensure ongoing review and improvement of our safety protocols. We appreciate your support as we continue to take steps to protect our school community.

SAFETY REMINDERS:

Mass Seating: Parents/visitors should sit in the visitor section (behind the readers). Please do not sit with classes or pull students to sit with you.
School Visitor Entry: All visitors must enter through the front office doors only. Please do not request entry through any other doors. Students will also be reminded not to open doors for anyone.
Pick-Up: Parents/Guardians will not enter the school lobby. Students will be sent out to the front of the building once you arrive.
Alternate Pick-Ups: If someone besides a parent is picking up, please notify us ahead of time. Even emergency contacts may require parent confirmation if not a frequent pickup.

VISITOR POLICY:

Check-In Required: All visitors must stop at the front office upon arrival. You will be required to:
- Sign in
- Turn in your car keys
- Wear a visitor badge/lanyard provided by the office

This applies to all visitors, including cafeteria volunteers, guest readers, room parents, and office volunteers.
Refusal to follow this policy may result in denied entry or restrictions on future visits.

Large Events (Career Day, Field Day, Grandparent Day, etc.):
- Volunteers must sign in and wear a visible sticker for the duration of the event.
- Stickers do not permit building entry but indicate you are checked in and approved for the event.
Substitutes: Subs will be issued a badge/lanyard for the duration of their time in the building.
Tour Families: All prospective families will be signed in and escorted by a staff member while inside the building.
Requirements for All Volunteers & Subs:
All volunteers, chaperones, and substitutes must have up-to-date background checks and Safe Environment Training before serving.

Create your Family Team (please don’t use your student’s name as the team name – use your family last name + “Team”).
Register yourself as a Parent.
Register your child(ren) as Students – this step is most important as it captures t-shirt sizes.

ATTENDANCE REMINDERS

If your student will be absent, coming to school late, or leaving school early, please email attendance@stmichaellouisville.org.

The office will only be able to accept medication, eyeglasses, winter coats, water bottles, and lunches.
Parents/Guardians may not drop off forgotten Chromebooks or iPads for students. They will receive a loaner for the day.
Step counters/digital watches may not be worn (including Apple Watches, Fitbits, Garmins, etc.)
Treats may not be sent in for birthdays--they will be kept in the office and sent back home with the student at the end of the day.

All adults planning to volunteer at school or chaperone field trips need to have their Safe Environment training complete along with a background check on file with the Parish Office. Safe Environment training must be renewed every five years. There is an online renewal option for those that have previous Safe Environment training on file.
