Banweb Timesheets
BanWeb Timesheets are for Immersion Only. for the academic year you will go back to completing Monthly Reporting Forms
General Banweb Timesheet Information
In order to receive compensation for Immersion, you MUST report your RLC, Workshops, and Symposium hours via Banweb Timesheets. Below is general information and some instructional videos to familiarize yourself with the process. It is pretty similar to last summer but the interface looks different.
Pay Rate: $15.45/hr
You may not have access to the timesheet on 7/1 but should have it soon. In the meantime keep track of your hours. If you don’t have access by 7/9 please let me know.
Log your hours under the D91943-00/EXITO BanWeb timesheet as regular student wages.
Timesheets are due on the 15th of each month (July*-October)
Payments are processed on the last business day of the month There is very little wiggle room for on-time payment with late submissions. A best practice is to enter hours daily -or weekly- throughout the pay period and submit your timesheet ON TIME.
OHSU RLCs: You will still need to log your hours in the OHSU timekeeping system - Volgistics
*Please note the July timesheet/payment is only if you worked RLC hours from 7/1-7/15. See the next section for information on possible payment delays
Summer Hours & Financial Support
While on hourly wages, Trainees only get paid for the hours they work. Very different from stipends
Please reach out as soon as possible if you are facing any challenges receiving/completing hours.
Shandee and the team can provide support to get needed hours - you just need to let us know ASAP
There are non-RLC options to complete research hours if your RLC is unable to provide hours - Shandee can provide this information after discussing options to get hours in the RLC

As student employees you are required to follow the requirements below on on the Human Resources Site
Holidays
We encourage you to take time off and celebrate the holiday. Trainees are permitted to work on holidays including 7/4 and 9/5. However, PSU does not pay time and a half.
Lunches/Breaks
Scholars are required to take breaks and lunches; for more information click here.
Take a 10 minute break after 2 hours (walk, stretch, have a snack)
Lunch breaks are optional if you work less than 6 hours in a shift, and required if you work over that amount
If you work more than 6 hours without a meal break, add a comment explaining what occurred to prevent it
Sick Leave
As a student employee you accrue 1 hour of sick time per 30 hours worked.
You may use it for qualifying reasons as soon as it is available
Inform your RLC and EXITO (ExitoOperations@pdx.edu) as soon as you know you need to use it.

Weekly Hour Limits
As a student employee you are not approved for overtime and are expected to follow the requirements below.
This means you are NOT permitted to work more than 40 hours a week.
Please communicate these requirements to your RLC so they are aware.
You are responsible for making sure you do not work more than 40 hours a week.
If you are taking more than 6 Credits for the summer term or have another PSU job, you may have a lower weekly hour limit. Please schedule a meeting with Cassandra to go over the details if you haven't already.

Possible Delays to Hourly Wages
You MUST be registered full-time for Fall 2023 to participate in summer programming. Please register full-time ASAP. If you are not registered there will likely be delays in compensation. If you do not register you will become ineligible for Summer Programming.
You MUST submit all outstanding MRFs to participate in summer programming. Please submit them ASAP
If timesheets are submitted late or have to be returned to you for correction there may be delays to payment processing.
Late Timesheets
There are over 2,000 student employees at PSU whose paychecks are processed through Payroll, so there is little wiggle room for on-time payments with late submissions.
HR notifies us of timesheets needing approval, but not timesheets that haven't been started. To distinguish between a missing/late timesheet and 0 hours, email us.
Unlike MRFs, there are no exceptions available or granted through Banweb. Pay checks will not be processed without a timesheet submitted.
Late timesheet submission can result in significantly delayed payment, and more work on everyone's part to process it.
