Trainee Appointment Basics
What is a Trainee Appointment?
A Trainee Appointment is the method NIH uses to track which programs trainees are in and where they are in said programs. Think of it as us appointing you to our training program (like a judge).
Other Common Terms
eRA Commons: NIH’s online platform to access and share info relating to research grants.
xTrain: Module in eRA Commons where trainee appointments are managed.
Login.Gov: The system for 2 factor authentication used by eRA Commons.
ORCID: Provides a persistent digital identifier that distinguishes you from every other researcher.
Process of Establishing Trainee Appointment
Meet eligibility requirements
Establish eRA Commons ID/Password and create/link your login.gov account (Step One)
You complete eRA personal profile & establish ORC ID, which provides a persistent digital identifier that distinguishes you from every other researcher (Step 2)
EXITO creates trainee appointment
You review, accept, and route the Trainee Appointment to EXITO’s PI (Step 3)
EXITO PI approves and routes trainee appointment to NIH - EXITO can now process your academic year financial support
Other Notes
For Permanent Residents, there is a step to add proof of residency to your appointment. EXITO will reach out with more information (if applicable)
If your appointment ends early or you leave the program, we modify the appointment
Financial Support cannot be processed until your Trainee Appointment has been routed to the PI (See below for more info).
Trainee Appointment Process
Step One: Get an eRA Commons Account & Change Password
Cohort 7/Program Year 3 & Continuing UAA/UoG Trainees
You already have an eRA commons account.
If you don't know your User ID please email exitooperations@pdx.edu.
If you need to reset your password, just use your User ID and PSU email.
Login.gov
eRA Commons is moving to a two step authentication process using login.gov. You will need to connect your eRA commons account to login.gov by 9/15, but it is a good idea to do that now. NIH’s Instruction Page & BUILD’s Handout
Step Two: Create/Update Personal Profile & ORC ID & Consent Form
Prior to being appointed to the BUILD Trainee Program, Trainees must create/update their eRA Commons Personal Profile
Cohort 6 - Program Year 3 & Continuting UAA/UoG Trainees
Since you made your personal profile last summer, we only need you to go into eRA Commons and update your profile.
Please note the interface has changed since we created these instructions but the information is still correct.
PSU Trainees: Please complete this by 7/24.
UAA and UoG Trainees: TBD
Common things that need updating:
Your address (Under Name & ID)
Phone number (Under Name & ID)
Education information including: in-progress degree, expected degree completion date (MM/YYYY), major, and minor (Under Education)

Step #3: Review and Route Trainee Appointment
BUILD will create your Trainee Appointment and then you will need to review and route it to the PPI, Dr. Crespo
Cohort 7 - Program Year 3
Summer Appointment
BUILD EXITO will be making your trainee appointment on the 14th and you will need to review and route it to the PI by 8/21 @1 p.m.
Log into http://public.era.nih.gov/commons/
You already have an eRA commons account.
If you don't know your User ID email exitooperations@pdx.edu.
If you need to reset your password, just use your User ID and PSU email.
Click xTrain
Find the "5RL5GM118963-10" section and click view form
Please verify that the information in your Trainee Appointment matches all of this information. If there are errors on your Trainee Appointment, do not route the appointment. Email exitooperations@pdx.edu right away so that corrections can be made.
Field of Research Training or Career Development (for this appointment): This should be similar to your current major in BanWeb, it will most likely not match 100% since I have to select from a drop-down.
Start date: 7/1/2023
End date: 9/24/2023
Stipend/salary/other compensation: $4,635
Once you have verified that the profile and appointment information is correct, scroll to the bottom of the screen and click "Save & Route to PI."
No need to add comments
Click continue or route
Cohort 7 - Program Year 3
Academic Year Appointment
BUILD EXITO will be making your trainee appointment on the 9/14 and you will need to review and route it to the PI by 9/22 @ noon
Log into http://public.era.nih.gov/commons/
You already have an eRA commons account.

If you need to reset your password, just use your User ID and PSU email.
Click xTrain
Find the "RL5 GM 118963-09" section and click view form **There are two, make sure the one that says In Progress Trainee"**
Please verify that the information in your Trainee Appointment matches all of this information. If there are errors on your Trainee Appointment, do not route the appointment. Email exitooperations@pdx.edu right away so that corrections can be made.

Completing the end of Spring: $10,755 (most common)

Step #4 Financial Support Processed
If your remission has not be processed by 10/7, you are ineligible for be a Trainee for Fall. As such, the absolute last date to complete onboarding assignments is 10/5
