General Precondition 11: Student Records Management, Access, and Security 

To be granted continuing accreditation by the Committee on Accreditation, the sponsor must demonstrate that it will maintain and retain student records in accordance with the institution’s record retention policy. Institutions will provide verification that: (a) Candidates and graduates will have access to and be provided with transcripts and/or other documents for the purpose of verifying academic units and program completion. (b) All candidate records will be maintained at the main institutional site or central location (paper or digital copies). (c) Records will be kept securely in locked cabinets or on a secure server located in a room not accessible by the public.

General Precondition 11 is met as follows: 

a. Current candidates may access unofficial transcripts at any time via the Student Hub, an online/mobile student portal providing access to university resources. The Student Hub is password protected, with each student managing their own password/login. Current candidates and alumni may request official transcripts and degree verification from the University Registrar's Office. 


  

b. All candidate records will be maintained at the main institutional site or central location (paper or digital copies) 

  

Transcripts are maintained by the Office of the Registrar at the following location: Office of the Registrar, 360 Huntington Avenue, Boston, MA 02115. 

  

Transcripts are electronically stored through our Student Information System, Ellucian’s Banner. Northeastern utilizes the Banner product for many of the university’s core business functions, including serving as the system of record for all university departments. Banner Student allows Enrollment Management (Admissions and the Registrar) to maintain student records related to matters such as enrollment, grading, and progress toward degree. 

  

c. Records will be kept securely in locked cabinets or on a secure server located in a room not accessible by the public. 

  

All records are maintained in real time on the Ellucian Banner system. Northeastern manages two redundant data centers, including one on its campus in Boston, Massachusetts, and one 30 miles away off-campus. Both data centers are closed to the public. The ‘backups’ of the information maintained in Banner are stored in the offsite data center. Maintaining student transcripts indefinitely is a core function of the Registrar’s Office and will be required of any Student Information System the university contracts now or in the future.
