Normally, an I.T. script enrolls teachers and students into their classes automatically, copying enrollments from the Registrar's database ("Banner") into Canvas four times daily (midnight, 6:00 a.m., noon, and 6:00 p.m.).
Students - check your schedule at myaccount.biola.edu to see for which classes you're registered. If you see your class on Canvas, but you cannot access it, it's likely that the teacher has not yet "Published" it. Contact your teacher.
Teachers - The list of classes at https://apps.biola.edu/course-pallet/terms/ shows who is listed as the "teacher of record" for a class. If something is incorrect on that list, your department will need to contact the Course Scheduler in the Registrar's Office to fix it. Their changes will be reflected on Canvas within six hours.
TAs - There is no automated process. Email Matthew Weathers to have a TA added to a class. (This request can come from the teacher or the department.)
Students who are auditing a class don't normally get access to the course on Canvas. However, if an auditor already has an existing Biola Net ID account and can log in to Canvas, the teacher or department can request that the auditor be given access to the class. We can't add non-Biola auditors to the class, since they do not have a Biola NetID account.
Guest Lecturers and Guest Speakers normally don't need access to a Canvas course. However, the teacher or department can request that they be given access.
For new teachers, there are several steps that need to happen in this specific order before they can log in to their class on Canvas. First, Human Resources needs to approve all the paperwork, officially hire them, and create an ID number for them. Next, I.T. needs to make a NetID account and password and biola.edu email address for them. Next, their academic department needs to notify the Registrar's Office that they are assigned to teach a class. Once the Registrar's Office officially assigns then to a class, the automated process will give them access on Canvas within six hours. Due to FERPA regulations, only Biola employees can have access to student data, so they have to be officially hired and assigned to a class before they have access on Canvas.
For Adjunct Faculty, the process is similar - they are not considered to be Biola employees during the summer until the beginning of their teaching contract. So I.T. turns off their Biola Net ID account during the summer.
For both new teachers and adjunct faculty - if they need to access Canvas before the semester begins, their academic department can modify their contract to begin sooner. In some cases, these faculty already have an existing Canvas account and we may be able to give them access to their classes before it's legally allowed - such a request would need to come from the department chair or department admin assistant, email Matthew Weathers and request a "FERPA violation override" to give that person early access on Canvas.
