Tax Types in HotSauce
**Exclusive Tax:** Added separately to the item price. Always a percentage of the item's price.
- **Inclusive Tax:** Included in the item price, not shown separately.
- **Smart Tax:** Only applied when an exclusive tax item is ordered on the same order.
**Configuring Taxes in the System Manager:**
The HotSauce System Manager introduces enhanced tax configuration features. When accessing the System Manager, navigate to the "TAXES" option on the right side. Clicking on this option will open the tax configuration screen for customization.
**Configuring Taxes in the System Manager:**
Clicking on the "TAXES" option opens a configuration screen where you can customize tax information.
**Tax Setup in System Manager:**
The Tax Setup screen has three tabs for each tax type, providing fields and buttons for tax configurations:
- **Add New Tax:** Create a new tax by clicking this button.
- **Delete Selected:** Delete a specific tax with this button.
- **Save:** Save your tax configuration settings.
- **Close:** Close the Tax Setup window.
**Taxes Tab in System Manager:**
The Taxes tab includes the following fields for entering tax information:
**Description:** Name the tax you are configuring.
- **Rate:** Set the tax rate in decimal format (e.g., 0.1 for a 10% tax rate).
- **Min Amt:** Determine the minimum price for a menu item to have the tax applied. Set to 0.00 if all items should be taxed regardless of price.
- **Inclusive checkbox:** Check this box for an inclusive tax, activating the Smart Tax checkbox.
- **Smart Tax checkbox:** Check this box for a Smart tax, activating the 'Use the following tax when exclusive items are found' dropdown menu.
**Use the Following Tax when Exclusive Items are Found:**Choose the tax rate to apply to a Smart tax when a tax-exclusive item is rung up.This feature allows for precise control over tax application, ensuring accurate calculations for exclusive items.
Conditional Taxes
- **Conditional Quantity Tax:** Applied after a certain quantity of the item is ordered. Always a percentage of the item's price.
- **Conditional Total Tax:** Applied after a predetermined total price of items is reached.
- **Conditional Category Tax:** Applied when an item from a specific category is ordered. There are two types based on whether the item meets the category condition or not.
- **Conditional Always Tax:** Always added to items of this tax type, similar to exclusive taxes but with the option for a different tax rate.
1 **Description:** Name the tax you are configuring.
Ensure you add a new tax before entering its description to facilitate proper tax configuration.
Note- Press the "Add New Tax" button first.
**Type:** Select the type of Conditional tax from the drop-down menu. Options include QTY (quantity-based), Check_Ttl (check total-based), Category, or Always.
Choose the appropriate tax type based on your tax configuration needs.
**Tax ID:** When the Type is set to "Always," use this drop-down menu to select which tax ID will be applied. This field pulls the tax types from the Taxes tab.
Ensure you choose the correct tax ID that aligns with the tax configuration you want to apply when the condition is met.
**Check_Ttl Less Then** When the Type is set to "Check_Ttl," set the total check price that, once met, will begin applying tax.
Specify the threshold amount for the total check price. Once the check total exceeds this specified amount, the defined tax will be applied.
**Qty Ttl Less Then** When the Type is set to "QTY," set the quantity threshold that, once met, will begin applying tax.
Specify the threshold quantity. Once the ordered quantity meets or exceeds this specified amount, the configured tax will be applied.
- **Menu Items with Report Category ~ Exist:** When the Type is set to "Category," use this drop-down menu to select the report category to which an item must belong for the tax to be applied. The report category information can be found in the BackOffice under Menu Item Maintenance.
**Use the following tax when condition is met:** When the Type is set to "Category," use this drop-down menu to select the tax rate from the Taxes tab that should be applied when an item belonging to the specified Report Category is rung up.
**Use the following tax when condition is NOT met:** When the Type is set to "Category," use this drop-down menu to select the tax rate from the Taxes tab that should be applied when an item belongs to a different Report Category.
Dollar Surcharges
- **Exclusive Dollar Surcharges:** Added separately to the item price.
- **Inclusive Dollar Surcharges:** Included in the item price.
Percent Surcharges
- **Exclusive Percent Surcharges:** Added separately to the item price.
- **Inclusive Percent Surcharges:** Included in the item price.
**Description:** Enter a name for the tax you are configuring. This is a descriptive label for the tax type.
Note- Press the "Add New Tax" button first.
**Amount:** Click this button to configure a Dollar Surcharge amount.
**Rate:** Click this button to configure a Percent Surcharge amount.
**Inclusive:** Check this box if the Surcharge is inclusive of the price.
**Setting Tax Rates for Menu Items:**
After configuring taxes in the System Manager, assign each menu item its designated tax rate in the BackOffice, following the path Menu Item → Maintenance.
**Tax 1-4:** These fields are employed to apply tax rates configured in the Taxes tab of the System Manager. It's recommended to assign your SALE tax to Tax 1, LIQUOR tax to Tax 2, and allocate additional taxes to Tax 3 and Tax 4 if necessary.
**Condition Tax:** This field is utilized to select the Conditional tax you want to apply from the Conditional Taxes tab in the System Manager Taxes maintenance screen. It is possible to apply a Conditional tax along with a regular tax, but this method is not practical.
**Surcharge Tax:** This field is employed to select the Surcharge tax you want to apply from the Surcharges tab in the System Manager Taxes maintenance screen. In most cases, you will apply a Surcharge tax along with a regular tax rate to a menu item.
